Each new member starts with a detailed four-week induction, becoming intimately familiar with our methods and practices. In this initial phase, they begin working directly with assigned clients, guaranteeing service tailored to individual needs and delivered with expertise from the start.

Our bookkeepers are in a client-facing role. They interact daily with our clients via video (Zoom), email, and phone calls. They should be comfortable communicating with clients, answering questions, and explaining financial documents.

We work with various construction companies, from general contractors to utility contractors. We approach each client as part of their in-house office team. We cultivate relationships with our clients and get to know their business so we can confidently advise them on financial decisions.

 

What We're Looking for in a Bookkeeper

Bookkeeper candidates should be proficient in the following areas:

  1. QuickBooks Online Experience: Candidates should have a strong background in using QuickBooks Online, including proficiency in banking transactions, account reconciliations, payroll journal entries, and managing accounts payable and receivable across various systems.

  2. Technological Proficiency and Quick Learning: We utilize a range of software daily, such as Karbon, Bill.com, Dext, BuilderTrend, QuickBooks Online, Google Workspace, Loom, Fireflies.ai, and Scribehow, among others. Our bookkeepers must be adept at learning and mastering new technologies swiftly.

  3. Effective Communication: Our bookkeepers need to communicate in a clear, concise, and articulate manner across all forms of communication, including emails, phone calls, and video meetings, avoiding unnecessary verbosity.

  4. Integrity and Honesty: We value individuals who adhere to high ethical standards, maintain confidentiality, act in the company's best interest, and communicate truthfully.

  5. Strong Work Ethic: Our team members should be ready to commit the required effort and time to complete significant projects, even beyond standard hours.

  6. High Standards: We expect excellence from our personal and team performance.

  7. Precision and Attention to Detail: Given the importance of accurate financial management, our bookkeepers must ensure data is entered meticulously, leaving no room for error.

What We Expect from Our Bookkeepers

Our bookkeepers must ensure the precise and expeditious recording of transactions across all financial systems, with adherence to designated deadlines being paramount.

To measure and assess performance, bookkeepers are provided with a detailed scorecard. Those outcomes include:

  1. Have a 99% client and teammate satisfaction rate.

  2. Complete weekly check-ins in 15five.

  3. Complete timesheets daily at the end of your workday.

  4. Complete all daily, weekly, and monthly work items in our project management tool (Karbon) by the due date.

  5. Enter transactions into Quickbooks Online, Bill.com, Dext, BuilderTrend, and Gusto Payroll with 99% accuracy.

  6. No transactions will be outstanding for over a week in Quickbooks Online, Bill.com, Dext, BuilderTrend, and Gusto Payroll.

  7. Take a minimum of 5 continuing education courses each year. This includes certifications in all software systems we use to serve clients.

  8. Email client management reports monthly by the due date.

  9. Record videos as needed on how to serve a client's account.

  10. Maintain the core competencies of your role.
