Job Description

Medical Assistant Scribe                                                                                                                                          

POSITION:                                  Medical Assitant Scribe

RESPONSIBLE TO:                   Manager

POSITION SUMMARY:               Under the direction of the physician(s) and manager, prepares patients to see the surgeon, facilitates lab tests and pre-operative counseling as needed. The MA Scribe also prepares patient records for the physician(s) to include pertinent health information and assists with clinical and administrative duties as directed.

                                                                                                                                                           

EDUCATIONAL REQUIREMENTS:

·       High school diploma, GED or equivalent degree required

·       Completion of Medical Assisting program - highly desirable

·       Phlebotomy experience - highly desirable

·       CMA, RMA, RPT or MLT certificate - highly desirable

·       Training in plastic or orthopedic surgery assisting a plus

·       Experience as a medical scribe – highly desirable

 

QUALIFICATIONS AND EXPERIENCE:

·       One year of experience in a clinical setting preferred

·       Familiarity with cosmetic, reconstructive and hand procedures a plus

·       Proven work experience as a Medical Scribe, Medical Assistant or similar role

·       Strong familiarity with medical terminology &/or previous terminology course(s)

·       Ability to expertly document patient care & transcribe patient appointments

·       Assure the accuracy of all documentation and records

·       Advanced computer skills to transcribe and record information across platforms

·       Keep and protect the privacy of all patient information

·       Strong organizational and time management skills

·       Ability to handle high-pressure situations effectively

·       Good bedside manner and interpersonal skills to communicate with patients effectively

·       Training in plastic &/or orthopedic surgery a plus

·       Type 40+ WPM

·       Excellent written and verbal communication skills with accurate spelling

·       Experience with an Electronic Health Record

·       Working knowledge of insurance, workman’s comp, attorney liens, etc., preferred

·       Bilingual in Spanish is preferred

·       Comfortable using email and interacting with Internet applications

·       Pleasant speaking voice and demeanor

·       Neat, professional appearance

 

Responsibilities include, but are not limited to, the following:

Clinical Support

·       Greets patients

·       Review and document health history forms

·       Records vital signs

·       Prepares exam and treatment rooms with necessary instruments

·       Transcribes reports from physicians &/or medical personnel

·       Translates abbreviations into proper form

·       Reviews reports for completeness & correct errors

·       Assists surgeon in preparing for examinations and minor procedures

·       Accompanies surgeon during examination

·       Performs patient education when appropriate

·       Replenishes supplies—stocks and cleans exam rooms

·       Takes medical stock inventory and communicates supply shortages to manager

·       May take photographs according to protocol

·       Assists in suture removal, drain removal, and other clinical activities as directed by the surgeon

·       Draws or prepares injectable drugs

·       Prepares and maintains supplies and equipment for treatments, including sterilization

·       Disposes of contaminated items according to OSHA guidelines

·       Completes all patient logs

·       Takes messages from patients with clinical questions and returns messages, under the supervision of the physician or clinical staff

 

Patient Coordinator Assistance

·       Provides pre-operative instructions

·       Schedules patients for surgery

 

Lab Work

·       Directs lab results to surgeon or clinical staff for review and treatment plan

 

Other

·       Maintains patient confidentiality by following the HIPAA Compliance Plan established by the practice; releases PHI in accordance with the practice's HIPAA Compliance Plan, attends regular HIPAA training, maintains data security by refusing to share computer and other passwords, and reports all identified and suspected HIPAA violations to the Privacy Officer

·       Maintains the coding compliance standards set by the practice; understands the practice's Coding Compliance Plan, attends annual training, and reports all identified and suspected coding compliance violations to the Compliance Officer

·       Maintains detailed knowledge of practice management and other computer software as it relates to job functions

·       Attends annual CPR, OSHA and CLIA training programs

·       Attends all regular staff meetings

·       Performs all other tasks and projects assigned by the Manager or Surgeon

Access to PHI (Protected Health Information)

This position has extensive access to PHI. It requires the review of computerized or paper-based medical records, lab results, and tests, in order to perform clinical duties as well as communicate effectively with patients. It may also require access to computerized and paper-based reimbursement data (such as referral forms)¾which contain both a patient's clinical and financial information.

 

Supervisory Responsibilities

This job has no supervisory responsibilities.

 

Typical Physical Demands

Position requires full range of body motion including handling and lifting patients, manual and finger dexterity and eye-hand coordination.  Involves standing and walking.  Employee will occasionally be asked to lift and carry items weighing up to 30 pounds.  Normal visual acuity and hearing are required.  Employee will work under stressful conditions, and work irregular hours.  Employee will be exposed to bodily fluids on a regular basis.

 

Typical Working Condition

Employee will have frequent exposure to communicable diseases, toxic substances, ionizing radiation, medicinal preparations and other conditions common to a clinic environment.
