About this position
The program assistant is responsible for coordinating a variety of clerical duties in the Subsidized Department of the organization’s Child Care Services program. The successful candidate must be able to communicate effectively, work both independently and collaboratively within a small, close-knit team, and thrive in a fast-paced environment. We are looking for someone with an upbeat, positive attitude who is eager to support the organization’s mission and achieve its strategic goals.
What you’ll be doing
- Answering telephones, assisting callers or transferring calls needing program specialist attention, as well as providing phone call follow-up as needed;
- Providing general clerical support to program staff;
- Maintaining family files, provider files, and eligibility list of families;
- Directing the flow of family and provider paperwork to the program specialists;
- Serving as receptionist when needed;
- Typing correspondence, memos, reports, and other documents;
- Receiving and processing program mail, including metered mail, bulk mail, FedEx, USPS, and other postal duties;
- Logging documentation into database in a timely manner, in accordance with program regulations and guidelines;
- Assisting program senior specialist and program supervisor as needed;
- Preparing certifications, recertification enrollment, and provider packets;
- Offering technical support and assistance, as needed, to parents and providers;
- Reading and implementing all organization and program policies and procedures;
- Accurately completing all assigned paperwork and documentation on a timely basis, according to organization policies and procedures;
- Completing special projects and performing other duties as assigned.
What you bring to the table
- Intermediate knowledge of Microsoft 365 (Excel, Word, and Outlook);
- Ability to communicate correctly and effectively in written and oral English;
- Command of Spanish, Cantonese, Mandarin, or Vietnamese (preferred);
- Ability to work with minimal supervision;
- Discretion in handling confidential information and ability to honor confidentiality and work sensitively and supportively with the public;
- California driver’s license, daily use of an automobile, and current automobile liability insurance.

Job specifications
- Reports to the assigned program supervisor;
- Full-time, 12-month work year;
- Eight-hour workday;
- Limited evening or weekend hours may be required;
- Employment, responsibilities, compensation, and other factors may be affected by changes in governmental regulations, the organization’s contracts, or at the organization's discretion.
Salary
- $19.22 to $22.25/ hr
