Job Description
Salary:

The Accounting Specialist at Pasado's Safe Haven supports the day-to-day operations of the Finance and Development Departments and is responsible for high-volume data entry of donations and donor data into the CRM platform, data entry of accounts payable, accounts receivable and cash transactions into the accounting system, preparing various month-end reconciliations and performing other general administration tasks supporting all departments.  This position will interact with internal and external stakeholders and requires exceptional customer service and multitasking skills, a high level of organization and attention to detail and the ability to work well both independently and as part of a team.  The ideal candidate will have experience in a non-profit environment interacting with donors, prior experience with a donor CRM database and accounting system, and a good understanding of generally accepted accounting principals.  This is a hybrid position working both onsite at our headquarters in Monroe, WA and from a home office, after an initial training period.  Prior experience working in a remote environment is preferred.


Responsibilities include, but are not limited to: 


Development Department: 

  • Accurate and timely processing and entering of donations from multiple channels and sources into the CRM platform, Virtuous. 
  • Accurate and timely entering of new donor information and preparing donor welcome letters and other donor-related correspondence.
  • Creating new CRM database forms for use with various online activities and generating database reports as requested.
  • Assists with the planning and execution of various fundraising events, including tracking and data entry of attendee information. 
  • Preparing donor tax receipts and other acknowledgements as needed.
  • Monitor the Development shared email inbox and respond to donor inquires via email and phone in a friendly and professional manner.
  • Answer incoming phone calls and route to the appropriate department in a timely manner and handle donor-related inquiries as required. 
  • Act as the backup to the Development Data Specialist as needed to ensure adequate coverage during vacations and other absences.
  • Perform other Development support duties as requested.


Finance & Administration Department:

  • Monitor the general Finance and Administration email inboxes, and maintain an organized system to ensure all incoming vendor invoices are accounted for and processed timely.
  • Obtain invoice approvals from various department managers and ensure that invoices are entered into the accounting system in a timely manner and with the appropriate backup. 
  • Monitor bank account transactions and process incoming check and cash donations, ensuring adherence to established internal controls.  
  • Verify general ledger coding on credit card and accounts payable transactions and prepare reports as needed to ensure compliance with audit standards.
  • Prepare detailed reconciliations between various internal and external systems and produce data analysis reports as requested. 
  • Perform a variety of month-end close tasks, such as updating tracking spreadsheets and assisting with preparation of bank and cash reconciliations for multiple accounts. 
  • Communicate with various departments and outside vendors to obtain invoice approvals, statements, contracts and W-9 forms as necessary. 
  • Assist with the preparation of annual 1099s and quarterly sales tax reports and provide support as needed during annual financial audit.   
  • Maintain an organized digital filing system for financial and administrative documents. 
  • Collect incoming mail from company post office boxes on a routine basis, distribute mail, log and scan incoming checks, maintain and assign staff mail cubbies, print postage, prepare overnight mailings and packages, and ensure outgoing mail is delivered to the post office or package carriers in a timely manner. 
  • Act as the backup to the Finance Manager and Operations Coordinator as needed to ensure adequate coverage during vacations and other absences.
  • Perform other Finance & Administration duties as requested. 


Required Skills/Qualifications: 

  • Minimum of two years’ experience in a high-volume accounting data entry role and/or development data entry role.
  • Must be proficient using Microsoft Office365 products, be able to perform intermediate Excel functions and be highly confident in ability to learn new software applications. 
  • Must be a self-starter able to work independently in a fast-paced environment and with an emphasis on accuracy and timeliness; and possess strong organizational and time management skills.  
  • Must be detail oriented with excellent communication, time management and organizational skills. 
  • Must be able to work independently and in a team environment. 
  • Experience working in a non-profit organization or communicating with external stakeholders strongly preferred.
  • Will be required to successfully pass pre-employment skills-based testing for financial data entry speed and accuracy.  Recent testing from another source may substitute for this requirement.

Employment: 

  • Full-time, non-exempt (32-40 hours per week, with flexible scheduling) 
  • Hybrid – remote and occasional onsite in Monroe, WA 
  • Salary range $24-$40, starting salary range:  $25-$28 per hour
