Provides a wide range of support to the Community Association Services Manager (CASM) and the Community Association Services Department which is responsible for developing, servicing, and supporting community association business. Additionally, the (CASS) will be the primary liaison between OFB and CINC Systems/Accounting Integrators (CINC). This position is not eligible to work remotely.


ESSENTIAL DUTIES

  • Responsible for being the primary day-to-day contact between OFB and CINC
  • Responsible for supporting the onboarding of new Community Association Management companies (CAMs) including but not limited to coordinating Association account opening at branches, working with TM to establish any TM related services, e.g., TOPS or remote deposit capture, not provided by CINC.
  • Responsible for supporting the business development efforts led by the CASM including but not limited to preparing, managing and customizing marketing collateral used for presentations.
  • Responsible for managing and delegating work responsibilities to the dept associate(s) throughout the growth and development of the Association Program.
  • Manage the Association Services mailbox and timely respond/resolve client requests, issues and concerns.


Requirements:

ROLES AND RESPONSIBILITIES

  • Responsible for working and coordinating with CINC through all CAMs onboarding, implementation, integration and testing necessary to consummate CAMs relationships with OFB and CINC.
  • Coordinate with CINC and OFB relationship officer, as needed, to obtain all necessary documents, forms and agreements to bring CAM onboard with CINC and OFB.
  • Provide day-to-day servicing of CAMs’ relationships to ensure problem resolutions are addressed and resolved and request for information, banking transactions and services are provided as necessary.
  • Work with CASM to create and modify streamline processes to efficiently open accounts and service CAMs.
  • Assist with analyzing CAM deposit relationship to determine the appropriate formula with respect to reducing CAMs’ CINC and OFB fees, if applicable, in exchange for the CAMs significant deposit/loan business.
  • Responsible for preparing, maintaining, ordering, and delivering, as required, marketing collateral to CAM prospects and clients.
  • Serve in a supportive role to ASM with OFB presentations to CAMs.
  • Attend local trade association(s) such as Community Association Institute (CAI) and CEOMC with the CAP Team.
  • Participate on business development calls, virtual as well as in-person, as necessary with ASM to assist in developing and closing business.
  • Process daily account maintenance requests, including ensuring accounts are designated as branch 9 and proper CAP designation, when applicable, in accordance with Bank policy.
  • Responsible for monitoring new account documents and handling account exceptions.
  • Report discrepancies, atypical transaction activity, or compliance issues immediately to the ASM and Deposit Operations Manager or BSA/Chief Compliance Officer as appropriate and assist in clearing discrepancies and transaction concerns.
  • Maintain up to date detailed records by the department as required.
  • Maintain the confidentiality of the Bank’s customers.
  • Remain current on and adhere to all regulatory requirements and training.
  • Update Deposit Rate Sheets, forms and documents and Other Marketing material as needed and requested.
  • Manage the CINC invoices and client(s) earnings credit allowance.
  • Updated monthly CAP scorecard and submit dept deposits/volume of association totals for board reporting.
  • Other related duties as assigned.

Education/Experience

  • High School diploma or equivalent
  • 3-5 years related experience
  • Experience with Association Services preferred

Mathematical Skills

  • Ability to work with basic mathematical concepts
  • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situation

Reasoning Ability

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer and Office Equipment Skills

  • Spreadsheet software (Microsoft Excel)
  • Word processing software (Microsoft Word)
  • Other Microsoft Office applications (Outlook, Teams, Smartsheet, PowerPoint)
  • Copier/Scanner
