Project Coordinator - Subcontracts

Essential Job Functions:
• Moderator of Documentation:
- The Project Coordinator, along with Subcontracts Manager(s) and Senior Contract Specialist(s), will read, understand, and gather specific information from client documentation for use within subcontracts.
- Facilitates prompt communication over documentation accumulation and/or clarifications.
- Facilitates a “hand off” with each project lead to ensure at each stage of contracting (LOI, LNTP, FNTP, EPC, Amendment, etc.), the documentation or requirements are current.
- Project Coordinator will help to prepopulate project folders for internal department use and project team use; filing and tracking requests and executed documents upon receipt; able to update Subcontract Manager(s) on status of a Subcontract.
• Operations:
- Responsible for tracking agreements, filing executed agreements, entering pay applications, and helping to collect lien waivers and reconciling invoices to pay applications when necessary.
- Engages with team supportively, providing pertinent documentation to Subcontractors/Vendors, and any other similar task as needed or required.
- Project Coordinator will attend weekly project meetings when lead is unable to attend, updating the project schedule and any contract information made available during meeting.
• Subcontractor/ Vendor Support:
- Project Coordinator responsible for providing workable Pay Application, Lien Waivers, and the like to Subcontractor/Vendor after fully executed agreements are executed, walking Subcontractor/Vendor through any submittal process, answering questions and/or providing documentation as needed.
• Innovation:
- Has a “one team” mentality focused on quality communication and continuous improvement.
- Provides superior support to ensure Subcontracts team and project is performing in accordance with the requirements of the client and is staying on schedule.
Additional Job Functions

• Keeps current with developments to team, project managers and personnel.
• Perform additional assignments per supervisor’s direction.
Knowledge, Skills and Abilities Required:
• Effective communication (oral, written, presentation) skills.
• Exposure to construction regulations and rules, and State Statutes.
• Adaptive, problem-solving orientation.
• Conceptual skills and ability to develop schedules and logs.
• General computer skills required (MS Office).
• Some travel is required
• Acts with humility, preparedness, and confidence.
• Keeps all appropriate matters confidential.
Job Type: Full-time
Experience: Administrative Assistant, Coordinator, and/or Purchasing Experience preferably within the Construction Industry.
Willingness to travel: 10% (Required)
Work Location: Scottsdale, AZ
Target Salary - 55,000-65,000
