Job Status: This is a full time, regular status position, M-Thurs 8-5, Fri 7-11

(36 worked hours/week + 4 paid non-worked hours/week in alignment with HRDC's Reduced Workweek Policy)


Wage: $21.00/hour

 

General Summary of Purpose of this Position:

Under the general supervision of the Food Bank Operations Manager, the Food Bank Food Rescue Coordinator is responsible for the coordination of pick-up and delivery of food products in the community including volunteer and Food Rescue Driver routes, maintaining a professional representation of the Food Bank at all times.  Responsible for the training and supervision of volunteers performing food rescue operations.  The job exists to facilitate a constant and adequate supply of food for the food bank including restaurant rescue functions and program development. Consults with Operations Manager regarding any potential donor/supplier relationship problems. Performs other duties as required.


Specific Duties and Responsibilities:

This position has the following duties and responsibilities. They are listed starting with the most important. Primary Job Duties and Responsibilities


Food Rescue:

  • Operates and coordinates usage of Food Bank vehicles, in a safe and prudent manner.
  • Coordinates and performs pick-ups and deliveries of food products from local grocery stores, bakeries, restaurants, and other food sources including activities of food rescue driver and volunteers under general supervision of Operations Manager. 
  • Development of restaurant rescue program including system of ensuring food safety, efficient storage and transport, and appropriate food preparation and packaging for distribution through Fork & Spoon Kitchen and the food bank food box program.
  • Reports any accident or incident, no matter how minor, to the Operations Manager and/or Food Bank Director.


Grocer Relations:

  • Establishes & maintains good working relationships with grocer and restaurant managers and staff.
  • Maintains verbal/written agreements with grocers and food distribution sites to adhere to all food safety standards. 
  • Works toward improving grocer relations to increase food gleaned.


Vehicle Maintenance:

  • Maintains all Food and Nutrition fleet Bank vehicles and equipment in conjunction with Food Rescue Driver
  • Performs daily inspection and required maintenance of vehicles and equipment;
  • Fuels vehicles and checks oil, tires, lights, wipers and general vehicle condition;
  • Cleans vehicle to maintain a professional level of appearance;
  • Assures maintenance of vehicles and equipment is performed at required intervals;
  • Assesses potential vehicle or equipment problems and consults with Operations Manager before taking further action;
  • Reports any vehicle deficiencies to Operations Manager.


Volunteer Coordination:

  • Trains and supervises volunteers in performance of food and restaurant rescue activities including donation/purchase collection from commercial and private sources, adhering to appropriate food safety standards, maintaining thorough inventory records, and appropriately representing the food bank in the community
  • Reinforces training and supervision of volunteers in performance of warehouse functions in coordination with Operations Manager.


Warehouse Oversight:

  • Works with Warehouse Coordinator and Operations Manager to keep warehouse and store stocked.
  • Assists with sorting donations.


Representation & Outreach:

  • Performs other duties as assigned by Operations Manager including project estimation and supply procurement, serving as food bank representative for projects related to food rescue and recovery, and various other warehouse and event functions.


Inventory:

  • Maintains food inventory logs, commercial donation records, and correspondence.


Knowledge Skills and Abilities:


Language Skills:

  • Read and comprehend basic instructions and orally exchange information to others.


Mathematical/ Money Handling Skills:

  • Basic counting skills;
  • Add, subtract, multiply and divide simple numbers;
  • Handle small amounts of cash.


Reasoning Ability 

  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form;
  • Ability to deal with problems involving several concrete variables in standardized situations.


Computer Skills:

  • Words per minute computer keyboard required: Demonstrate proficiency
  • 10-Key strokes per minute data entry required: Demonstrate proficiency


Specialized Office Equipment

  • Operate multi-line phone to place, receive or transfer calls or to retrieve voicemail messages.


Computer Software and Operating Systems:

  • Utilize computer spreadsheet (Excel) to input, format and edit data and save, print or transmit data;
  • Utilize computer word processing (Word) to input, format and edit documents and save, print or transmit documents;
  • Utilize computer Internet/ E-Mail (Gmail) to access, send, retrieve, save, print or transmit documents, or data files;
  • Operate personal computer with Windows 10  operating system to start programs, input, format and edit data files and print or transmit data;
  • Utilize proprietary, custom or online programs or data bases to input, format and edit data and save, print or transmit data.


Specialized Tools (Non-Computer):

  • Operate scale for weighing donations;
  • Lawn mower;
  • Light Truck;
  • Forklift;.
  • Snow-blower.


      HRDC, professional or Governmental Policies and Regulations:

      • All HRDC policies and procedures.


      Drivers Licenses Required for Performing this Position:

      • Montana Class D Driver License.


      Professional Licenses or Certifications Required by Law, Rule or Regulation for Performing this Position:

      • Serv Safe Certification


      Other Required Knowledge, Skills or Abilities:

      • Ability to effectively work and communicate with a wide range of individuals from all socio-economic groups;
      • Ability to read, interpret and implement documents such as policies, rules, and procedure manuals;
      • Ability work with minimal supervision and effectively manage work flow;
      • Ability to respond effectively to the most sensitive inquiries or complaints from customers or claimants;
      • Ability to drive with either manual or automatic transmissions;
      • Possess basic knowledge of vehicle maintenance;
      • Communicates effectively with business representatives, Food Bank volunteers and various staff;
      • Drives in a safe and courteous manner;
      • Minimizes vehicle mileage through sound planning and thorough knowledge of streets and roads;
      • Effectively provides for maintenance of vehicle;
      • Demonstrates an ability to work effectively in a team oriented environment;
      • Demonstrates an ability to establish and maintain effective working relations with co-workers and the public in representing the Gallatin Valley Food Bank.


      Essential physical, mental and emotional requirements of this position

      The following physical, mental and emotional abilities are considered essential to perform the duties listed above:

      • The employee must regularly lift and/or move up to 50 pounds, frequently lift and/or move up to 75 pounds. We strongly encourage using carts and if possible team lifting heavy items.


      Education and Experience


      Education:  The following course(s) of study or class work usually provides the required knowledge skills and abilities to perform the duties of this position:

      • Graduation from high school or GED required.

      Experience: The following kinds of experience usually provide the required knowledge skills and abilities to perform the duties of this position:

      • One to two years of driving experience and warehouse knowledge.

      • This position operates under general supervision and coordinates with supervisor if/when fluctuations to the regularly scheduled activities occur.  Consults with supervisor regularly on all projects.

      • Requires judgment from time to time in the application of broader aspects of established practices to problems and situations not falling clearly or concisely within the limitations of accepted standards or precedents. Employee resolves routine problems and refers unusual problems to Operations Manager or Food Bank Director.
      • Requires judgment in establishing and maintaining verbal/written agreements and good working relationships with grocer and other establishment managers and staff.

      • Works in temperature controlled warehouse environment;
      • Daily operation of a motor vehicle under all weather conditions;
      • Weekly or more frequent requirement to work above ground level on ladder or scaffold;
      • Weekly or more frequent requirement to work outdoors under all weather conditions;
      • Monthly or less frequent exposure to risk of cuts, burns, shock or other minor injuries (Not Requiring Hospitalization);
      • Monthly or less frequent exposure to risk of injuries that may result in a permanent disability or death (possibility of having a car accident).
