General Description The Principal Program Assistant is a valuable member of our Clinical Compliance team who provides administrative support to the Program Manager, Infection Preventionist, Safety Coordinator, and other program team members. Activities include generating, tracking, and maintaining statistical data; creating programmatic-related reports; preparing meeting agendas and completing associated minutes; and tracking agency compliance responses and programmatic budget expenses and inventories. The Principal Program Assistant also prepares and formats communications, correspondence, and any other required documentation for the program.

To be successful in this role, we are looking for someone who can: Juggle competing priorities, multi-task, and change direction in various workplace situations. Prioritize assignments and ensure that deadlines are met. Effectively apply general office principles, practices and procedures, business English, spelling and arithmetic, and an ability to follow procedure.

Effectively respond to questions from managers and staff. Solve practical problems and deal with various concrete variables where limited standardization exists. Work well with employees at all levels.

Essential Functions Supports Program with accreditation/regulatory/audit activities and associated planning, development, implementation, and follow-up. Assists with the aggregation of information and dissemination/posting of statistical audits, surveys, and compliance reviews as specified (such as TB Risk Assessments, Hand Hygiene, Chart Audits, Clinical Risk Assessments, and Environment of Care Audits). Runs report within the HealthSafety zone portal and learning management systems.

Develops data spreadsheets, tables, charts, and graphs to assist in the 340B, infection prevention, safety, and risk assessment and monitoring processes. Responsible for correct formatting and monitoring feedback and approval workflows for Behavioral Health, Clinical Universal, and General policies within SharePoint. Assists in the development and formatting of training or audit tools as needed for the Program Schedules meetings/training and coordinates associated required electronic sign-ups, room setup, and supplies.

Creates meeting agendas. Attends and takes minutes for various assigned committees (Infection Control, Environmental Health and Safety, Clinical Compliance, Compliance/Privacy/Security, 340B Oversight). Updates Clinical Compliance manuals/plans as directed (Joint Commission, Infection Control, Material Data Sheets), via paper and electronic resources.

Responsible for tracking and filing CPR, TB assessments, and vaccine-preventable disease status as required by specific organizational positions. Assists in aggregating data and reporting information in response to varied audits and regulatory and accreditation visits. Maintains Infection Control and Safety Program supply inventories.

Prepares drafts, memos, and correspondence as appropriate for the Program related operations. Provides technical assistance in program registration and SharePoint updates. Utilizes independent decision-making to process incoming/outgoing communications and distribute them to the appropriate person(s) in a timely manner.

Serves as Program Safety Officer and supports all program Safety Coordinator functions. Participates in Clinical Compliance site review processes as directed. Enters maintenance, IT, and housekeeping requests as needed after the audit process.

Provides backup/cross-training coverage for clerical staff in the administration office when needed. Develops and maintains a basic knowledge of services available at the Lake County Health Department and Community Health Center (LCHD/CHC). Develops and maintains an essential awareness of the current processes being taken to reduce health disparities within our communities.

Develops and maintains a working knowledge of individual Emergency Preparedness roles. Demonstrates adherence to National Patient Safety Goals. Participates in quality improvement activities to assess, monitor, and improve program services.

Reports all unusual occurrences that may involve the safety and well-being of the clients, patients, and co-workers directly to the supervisor and/or Safety Officer. Performs other duties as assigned. Knowledge Skills Abilities and Education Required High School Diploma Two years of office experience Proficient in utilization of Microsoft Office/Outlook, Word, Excel Valid driver's license with an acceptable driving record Supplemental Information As the largest human service provider in Lake County, we believe that services must be available without barriers.
