Job Description

Our Mission:

The mission of Bread for the City is to help Washington, DC residents living with low income develop the power to determine the future of their own communities. We provide food, clothing, medical care, and legal and social services to reduce the burden of poverty. We seek justice through community organizing and public advocacy. We work to uproot racism, a major cause of poverty. We are committed to treating our clients with the dignity and respect that all people deserve.

Position Profile:

The CEO Assistant reports directly to the Chief Executive Officer and works collaboratively with the COO and the CFO. The ideal candidate for this position has a keen interest in organizational development and possesses a talent for working effectively with diverse personalities and working styles.

The CEO’s Assistant will ensure the smooth operation of the executive team by managing multiple calendars, prioritizing requests of executive team staff, and handling correspondence.

Essential Responsibilities:

  • Supports staff and programs at Bread for the City;
  • Supports the sharing of information across the organization;
  • Communicate with staff and others regarding deadlines, need for additional information, assignments and priorities, etc.; keep Chief Executive Officer and Chief Operating Officer informed by providing updates and reporting results;
  • Maintain print and electronic records and resources as needed.

Supports the public role of the Chief Executive Officer:

  • Ensuring that the Chief Executive Officer have all necessary materials in advance to be effective on calls or in meetings;
  • Effectively and efficiently drafts correspondence and written communications for public use;
  • Screens, schedules, and prepares materials for public meetings, including work with public officials and organizational partners;
  • Open, read, prioritize, direct and when appropriate, respond to incoming mail, calls and email; Analyze messages and inform the CEO of required action; take appropriate actions to route or respond to routine administrative and/or business matters.

Supports the financial oversight of Bread for the City:

  • Manage expense vouchers, reimbursements, and complete related financial tasks for the Chief Executive Officer.

Support the work of the Board:

  • Maintain up-to date and accessible materials online;
  • Collect updates from program managers and distributes them, for board reports and other communications.

Additional Responsibilities:

  • Participate in staff meetings;
  • Perform other duties as assigned by the CEO.

Requirements:

  • BA or equivalent experience;
  • Superior organizational and interpersonal skills;
  • Ability to organize, set and implement priorities;
  • Excellent oral and written communication;
  • Outstanding initiative and problem solving;
  • Minimum of three years’ experience as a full-time administrative assistant;
  • Proficiency with Microsoft Word, Excel, Power Point and email and communications software;
  • Excellent organizational skills and attention to detail;
  • Ability to use discretion and maintain confidentiality when required;
  • Strong interpersonal skills with ability to relate effectively to diverse constituencies including; staff, board members, donors, foundation officers and government officials;
  • Ability to meet rigorous deadlines and handle multiple responsibilities simultaneously;
  • Flexibility, resourcefulness and initiative to work bother independently and as part of a team;
  • Ability to work with volunteers in a professional and collaborative manner;
  • Familiarity with Google Organization & Productivity Tools (Gmail, Google Docs, Calendar) and /or ability to learn new technology systems;
  • Willingness to learn and carry out Bread for the City’s commitments to social justice and racial equity.
