Accounts Payable Supervisor (Property Tax Payments)

Advantax, Inc. is seeking an Accounts Payable Supervisor (Property Tax Payments) to join one of the fastest growing property tax firms in the country.

We are a leading national property tax service provider. We offer personal property and real estate tax compliance services as well as consulting services. Our clients include large (Fortune 100) and mid-size organizations that span across a variety of industries.

We are looking for candidates who are able to work full-time out of our Elgin, IL headquarters (at the intersection of I-90 and Randall Road).

Summary:

The Tax Payment Supervisor will oversee several members of the tax payment team, direct the processing of selected tax bills and payments, assist the Manager of Tax Bill Services, and maintain day-to-day tax payment specialist tasks.

Supervisor Responsibilities:

• Supervise a team of 3 to 5 tax payment specialists providing guidance, support, and training as needed.
• Facilitate weekly 1:1’s with the team members reporting to the Tax Payment Supervisor
• Oversee the day-to-day operations of the selected tax payment specialists, ensuring timely and accurate processing of tax bills, funding requests and payments
• Directs and prioritizes assigned workload for tax payment specialists providing assistance as needed
• Contributes to the team’s annual performance evaluations by conducting regular performance reviews for team members, providing feedback, and identifying opportunities for development
• Reviews and approves tax bills and funding requests from clients
• Assists the Manager, Tax Bill Services with compliance-related administrative tasks including but not limited to the outstanding check log, managing the outstanding mail log, researching items as needed, and other duties as required
• Maintain a thorough understanding of our clients' specific requirements, and ensure team compliance with these guidelines

Duties/Responsibilities:

• Personally maintain approximately one-third of the standard tax payment specialist’s workload
• Organize all received tax bills for assigned clients
• Find missing tax bills by interfacing with various government databases
• Identify specific information including payee, amount due and due date
• Enter tax bill information into Advantax’s compliance processing software
• Update required process tracking documents
• Review that information entered matches information received
• Provide weekly missing tax bill reports
• Scan tax bills and save to the Advantax server
• File hard copy bills for future reference
• Additional responsibilities as necessary, identified by Advantax management
• Create certified labels for remission of tax payments when required
• Seasonally assist with entry of tax assessment notices
• Seasonally assist with tracking of assessor inquiries on Advantax system
• Performs other related duties as assigned

Education and Experience:

• Associate degree (minimum) required
• 3 years previous payables experience required
• Payables supervisory experience preferred
• QuickBooks experience preferred
• PTMS experience preferred

Physical Requirements:

• Prolonged periods sitting at a desk and working on a computer.
• Must be able to lift up to 15 pounds at times
