JOB PURPOSE

The Early Learning Center (ELC) Administrative Assistant is responsible for primarily providing administrative support to the ELC Principal and Team. The ELC Administrative Assistant also works in collaborative partnership with the Primary Learning Center (PLC) Administrative assistant and the Executive Assistant to the Head of Primary School to support Primary School (PS) administrative tasks, staff support, and coordination of events. The administrative assistant understands the mission, goals, and values of the school.

This is a full-time position to begin July 29, 2024.

RESPONSIBILITIES

  • Builds partnerships with students, parents, teachers, and colleagues to support a warm and welcoming environment for all.
  • Creates a safe place of learning that is intentionally inclusive where all voices are seen, heard, and valued.
  • Commitment to a team approach where everyone is expected to play a role in creating the best possible environment for education.
  • Administrative tasks, that include but are not limited to:-
    • Assisting with scheduling appointments and events, managing calendars, and communications; both facing outward to parents and inward from parents. maintaining and running attendance and academic reports, reserving facilities, arranging catering needs, providing set-up for events,
    • Maintaining Bright from the Start Regulations for Licencing.
    • Tasks assigned by the Executive Assistant to the Head of Primary School.
  • Supervises students in the ELC Lobby (Grade 3K and 4K) during school hours or in classrooms if necessary.
  • Participates in beginning and end of day carline.
  • Liaises with appropriate departments such as Development, Admissions, Business Office, Catering, Facilities Management, Nurses and Security as needed.
  • Attends staff meetings and professional development.
  • Orders and maintains supplies.
  • Arranges for equipment maintenance in collaboration with the ELC Security Team.
  • Communicates clearly and effectively with all constituents.
  • Composes and sends routine correspondence as needed.
  • Liaises with parents daily.

PREFERRED SKILLS
  • Notary.
  • First Aid and CPR Trained.
  • Proficiency in English and additionally Spanish, French, German or Chinese preferred.
  • Experience with Google Workspace and school-based software.
