Vet Team Coordinator & Analyst

Job Overview

The Vet Team Coordinator plays a crucial role in the smooth operation of our veterinary team at JustFoodForDogs. This role involves a combination of administrative, clerical, and customer service responsibilities to ensure the efficient functioning of the veterinary team and the best possible care for our customers and their pets. Below is an overview of the job responsibilities and qualifications for a successful Vet Team Coordinator.

Required Skills:

• Excel literate
  • Basic formulas
  • Vlookup, Xlookup, Pivot Tables are a plus
• Advanced level of computing sklls
  • Microsoft Office suite
    • Outlook, Word, Excel, Teams
  • Salesforce, Lightspeed experience a plus
• Extremely organized, detail oriented, problem solver
• Ability to prioritize tasks, multi-task and manage multiple projects and complete them in a high-pressure environment
• Experience in administrative/assistant tasks
• Ability to analyze data from BI tools is a plus
• Proactive, self-starter, seeking continuous, ability to create systems

• Exhibits self-motivation, the ability to multitask and pay close attention to small details.

• Displays the ability to work in a collaborative and team-oriented environment and work cross functionally with other channels as needed

Key Responsibilities:

• Data entry (Excel, Light Speed, Commerce Cloud, Sales Force)
  • Vet discounts
  • Vet orders (Excel)
  • Conference leads (Excel)
    • Follow-up emails (Using Template)
• Manage vet team email accounts and delegate inquiries, respond according to manual
• Responsible for the administration of conference events
• Pack and ship samples and materials for all vet team events
• Literature, marketing materials, food, etc.
• Shipping freezers, containers, food, etc. (Fedex – JFFD Company Card)
• Must be local and be willing to travel locally within Irvine (< 10 miles per day)
• Answer generic vet team email inquiries using templates
• Keep storage organized and inventory updated and documented.
• Facilitates the purchase and delivery of orders and after care.
• Work with supervisor to optimize workflows and processes by analyzing data from BI tools.
• Other duties as assigned.

• This is a 70:30 hybrid-role, must be present at both Irvine offices.
