Job Description:

Research and clear customer deductions. Collect unauthorized deductions. Maintain broker, sales rep. & customer communications. Prepare monthly analysis reports. A/P, A/R, Collections. Special projects as needed.

Responsibility and Duties:

Determine why deduction was taken. (For Example: bids, national account bids, shortages, damages, food show expenditures, samples, etc.). Once determined, do necessary research to determine accuracy.

Calculate bids (invoice pricing vs. bid pricing) using spreadsheets in Excel for time specific periods.

Get approvals from appropriate person on various items if needed.

Invoice customer back for unauthorized deductions using template in Word. May also need to put credit against customer programs or broker commissions, if necessary.

Assign general ledger account numbers for processing.

Enter deductions being processed into Access database.

Make collection calls and discuss any discrepancies with customer, sales rep and/or broker.

Perform a profit margin analysis after reviewing account to check profitability and report results to management.

Process check requests (through A/P) on items that will not be deducted/ researched to prevent duplication.

Working knowledge of the following accounting principals: aging, general ledger, posting of cash, accounts receivable and accounts payable.

Ability to effectively interact with others both internally and externally to resolve issues.

Proficient with a 10 key adding machine.

Excellent organizational and analytical skills.

Must be detail oriented and able to work in a fast paced, high volume work area.

On average, process $600,000 credit memos monthly

On average, process 1000 individual deduction entries monthly.

Over 400 Foodservice and Retail accounts handled.

Qualifications:

Education and/or Experience:

Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.

Language Skills:

Ability to read and interpret documents such as production schedules, inventory reports, sales forecasts, safety rules, motor carrier regulations, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Mathematical Skills:

Ability to work with mathematical concepts such as probability and statistical inference. Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, trends. Ability to apply concepts of basic algebra and geometry.

Reasoning Ability:

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram form.

Computer Skills:

To perform this job successfully, an individual should have proficient typing and computer skills including knowledge of Internet software; Inventory software; Order processing systems; Spreadsheet software (MS Excel), Word Processing software (MS Word) and Email software (Office365).

Physical Demands:

While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms and talk or hear. The employee is occasionally required to stand and walk. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception and ability to adjust focus.

Work Environment:

While performing the duties of this Job, the employee is occasionally exposed to wet and/or humid conditions. The noise level in the work environment is usually moderate, however the employee may be required to enter production areas where the noise level is usually loud and hearing protection is required.
