Reporting Relationship: This position will report to the Director of Engagement
Purpose: The Engagement Administrator maintains accurate processing, implementation and acknowledgment of donations while developing meaningful donor connections. This individual is mission focused, dependable, detail oriented with high integrity and a professional demeanor. The Engagement Administrator will be a problem solver and self-motivated with ability to improve processes and live in the details of relationship building and data management.
Responsibilities:
- Collaborate with Director of Engagement to improve and implement best practices and processes pertaining to donor relations
- Process check log on a semi-weekly basis, or more frequently if needed
- Improve the timely recording and processing of all gifts into the CRM as they are received
- Maintain contact reports from face-to-face meetings, donor correspondence, and other activities in database, ensuring information is current and accurate
- Inspire supporters to retain or upgrade their financial support through relational interactions
- Carefully handle supporter requests promptly and efficiently, while making sure the supporter is cared for well throughout their relationship
- Work collaboratively with the finance team in reconciling and importing data and details within the CRM
- Draft and send donor acknowledgments, both written and digitally, to ensure that donors are thanked promptly
- Create donor reports in TTF's donor database for use in prospecting, portfolio management, event management, and other needs
- Prepare monthly revenue and activity reports; track and document all portfolio revenue and cultivation activities on a weekly basis
- Maintain monthly touch points with our donor family to share our mission and what God is doing through the ministry
- Volunteer coordination for department tasks, such as for annual tax statements and monthly donor receipting
- Coordinate and assist marketing team with mailings, as needed
- Assists with various administrative tasks and special events, as needed
Qualifications:
- 2-3 years of experience in a general office and administrative role, preferably with a non-profit environment
- Demonstrated ability to provide exceptional customer service to donors and community stakeholders
- Prior experience working within a fundraising software, such as Raisers Edge, Hub Spot, and/or Classy
- Ability to identify and solve problems in a timely manner
- Outstanding written, verbal, and interpersonal communication skills, great attention to detail, and ability to develop strong relationships with both internal and external constituencies
- Ability to process and maintain confidential information
- Ability to utilize MacOS with Microsoft Office suite
- Light to moderate lifting, as needed
- Able to sit/stand at a computer for an extended period of time
