Job Description

The Associate Director of Student Programs supports all programming, courses, workshops, and activities within the Academic Success and Bar Preparation Office at Southwestern Law School. The Associate Director of Student Programs provides a wide range of student services including managing program logistics, student counseling, tracking student performance, and data management. This position requires excellent customer service skills, keen attention to detail, and the ability to successfully manage overlapping projects and programs.

Primary Responsibilities

  • Coordinate academic success programming logistics for Bison Boot Camp, Foundations of Law and Practice, Dean’s Fellow Program, and the Good Brain Program.
  • Coordinate bar preparation programming logistics for Graduating Students Day, Cal Bar Writing, MBE: Skills & Strategies, Bison Bar Pass Program, Fresh Perspective, Themis Quiz Builder, and Remedies.
  • Oversee progress and performance tracking for students to monitor engagement and participation.
  • Assist with course development and oversee ongoing task management to keep the programs running smoothly.
  • Analyze student feedback and survey data to improve the quality for future students.
  • Coordinate with proctors and course graders for essay simulations and bar grading.
  • Advise students on the California Bar admittance requirements and research out-of-state jurisdiction requirements for non-CA applicants.
  • Guide students in developing a plan to complete each bar admission step in a timely manner including State Bar Registration, Moral Character Application and LiveScan Fingerprinting, MPRE, and the bar exam application.
  • Advise students on course and program requirements and maintain records on participation, engagement, and incentive eligibility.
  • Advise students on the testing accommodations process for the bar exam, assist with the application process, and provide referrals as needed.
  • Collaborate with other departments to obtain student information and update records.
  • Complete data tasks from the “Bar Data Processing Timeline” as part of the Bar Data Management working group to effectively manage ongoing data responsibilities.
  • Update internal summary reports with each bar. Compile and report bar results for first-time and repeat takers.
  • Track bar results based on bar review course, program, rank, credentials, and course completion data.
  • Update and maintain records for the Bar Results Committee for California and other jurisdictions to ensure comprehensive and accurate reporting.
  • Maintain bar-specific spreadsheets to monitor first time takers, repeaters, out-of-state applicants, and non-sitters.
  • Provide data and reports for other departments as requested.
  • Assist department head(s) with data projects as needed.
  • Oversee, process and monitor the department budget in accordance with law school policies and procedures.
  • Maintain master calendar to keep all internal and external dates organized.
  • Field inquiries from the departmental email account and respond to internal and external requests.
  • Completes other duties as assigned.

Minimum Job Requirements

  • Bachelor's degree with 2 - 3 years of experience directly related to the duties and responsibilities specified. Master’s degree in higher education, student affairs, student counseling, or related field is desired but not a requirement.

Knowledge, Skills, and Abilities Required

  • Knowledge and comprehensive understanding of academic support, student support services, and bar preparation.
  • Knowledge of California bar admission requirements and all related exams and steps towards licensure.
  • Ability to provide excellent customer service.
  • High level of judgment, discretion, integrity, and confidentiality.
  • Accuracy and meticulous attention to detail.
  • Highly organized; excellent time-management skills.
  • Excellent critical thinking, problem solving and listening skills.
  • Strong interpersonal and communication skills and the ability to work effectively and diplomatically with a wide range of constituencies in a diverse community.
  • Skill in the use of computerized student information systems including Canvas, Colleague, and Informer.
  • Skill in examining and re-engineering operations and procedures, and developing and implementing new strategies and procedures.
  • Skill in organizing resources and establishing priorities.
  • Knowledge of law school academic and graduation requirements and eligibility requirements for bar examinations.
  • Ability to foster a cooperative work environment.
