Job Description: The General Clerk II performs a combination of clerical tasks to support departmental operations, e.g. filing, copying, and updating databases. Typical duties include assisting a variety of administrative matters; maintaining a wide variety of records (stored both manually and electronically); verifying reports for accuracy and completeness; compiling information.


Duties and Responsibilities:

  • Records and files documents accurately
  • Maintains confidentiality of records
  • Receives, prepares, and verifies documents
  • Responds to routine requests with standard answers
  • Answers phone and in-person customer service questions
  • Sorts, delivers and gathers mail, files and/or other documents for designated areas
  • Maintains inventory of housing keys issued and received
  • Follows established procedures or steps to process paperwork
  • Performs other related work as assigned

As it relates to the Safety Department:

  • Assists in the development of safety plans and procedures, metrics, checklists, data tables and reference sheets, and similar administrative work duties.
  • Support safety management and site-safety and health officers in the field with the research and procurement of safety supplies, tools, and equipment.
  • Maintain inventory of the safety equipment, tools, logs, and supplies; provide reports monthly of burn rate.
  • Support the safety training program e.g., coordinate trainings, maintain training media and material, rosters, input courses in a tracker, develop and distribute certificates to students.
  • Coordinate and track required trainings to ensure site remains in compliance with all laws, regulations, and company policies.
  • Assist in the implementation/rollout of programs, policies, and procedures to enable compliance, injury reduction and sustainable management system elements.
  • Provide oversight on and maintenance of the company's Hazard Identification and Risk Management Program.
  • Develop and distribute site safety and environmental reports, KPI's and Metrics as directed.
  • Act as point of contact for all safety and environmental incidents, investigations, and mishap reporting requirements.
  • Schedule and coordinate emergency response plans, drills, and procedures.

Accountable For:

  • Knowledge of common safety practices
  • Intermediate skills in use of computers and familiar with Microsoft Office products
  • Adherence to established CGS, LLC safety policies and good industrial and office safety practices
  • Skill in the use of common office machinery (i.e. copy machines, fax machines, telephone systems, scanners etc...
  • Skill in 10 key by touch
  • Ability to multi-task multiple projects and requests
  • Compliance with CGS, LLC Standard Operating Procedures and Personnel policies and procedures
  • Ability to read, write, speak and comprehend English

Minimum Qualifications:

  • High school diploma or equivalent
  • Two (2) years clerical experience
  • Basic skill in the use of Microsoft Office, specifically Word and Excel
  • Speak, read and write English proficiently
  • Possess and maintain a valid driver's license with acceptable driving record
  • Ability to obtain access to U.S. Government Installations through the Defense Biometric Identification System (DBIDS)

As it relates to the Safety Department:

  • One (1) year of experience with safety and environmental programs in critical environments or construction projects.
  • Proven experience researching federal regulations 29 CFR 1910, 1926, and United Sates Army Corps of Engineer Health and Safety Manual (USACE EM385-1-1).
  • Knowledge of Microsoft Office Suite - Word, Excel, PowerPoint, Outlook.
  • Must be proficient in WhatsApp and Adobe Pro.
  • Must be able to lift and carry at least 40lbs. for 100-linear feet without assistance.
  • Excellent communication skills.
  • Ability to perform some field work.
