Job Description

Work Location: Sacramento, CA.

Term: Full-time, occasional evening and weekends required

Position Status: Non-Exempt

Pay Range: $19.00 - $25.00 an hour, commensurate with experience.

Reports to: Associate Legal Manager, Immigrants' Rights

About the Role: CAIR-CA's Immigrant Rights Center (IRC) provides legal immigration services to refugees, asylum seekers, and the diverse immigrant community in California, The Administrative Coordinator will is primarily responsible for ensuring the smooth operation of the department and effective case management by administrative support to the staff. The Administrative Coordinator supports the Immigrants' Rights Center team by handling daily administrative tasks, and client communications.

DUTIES AND RESPONSIBILITIES

  • Assist with responding to incoming communications including answering phone calls, emails, and properly redirecting to the legal staff.
  • Conducting initial immigration intakes and following up with clients and potential clients via phone, email, and text.
  • Assisting with calendaring and scheduling internal and external meetings.
  • Drafting and sending out client correspondence, including retainers, referrals, and closing letters.
  • Mailing out correspondence as well as scanning, calendaring, and filing of incoming mail.
  • Assist with organizing and maintaining all department documents including scanning, uploading, and filing physical and electronic copies.
  • Assist legal staff in the collection of documents and preparation of immigration applications such as asylum, adjustment of status, temporary protective status, and other forms of humanitarian applications or immigration benefits.
  • Provide translation and interpretation services as needed both orally and in writing to assist the legal team with immigration cases, during meetings with clients and interviews or hearing.
  • Providing additional support to immigration staff with administrative tasks as needed.
  • All CAIR staff are required to help with fundraising efforts as required.
  • CAIR staff are required to attend scheduled weekend or weekday evening events.
  • Attend immigration training or assist with various immigration cases to gain on the job experience as time permits.

REQUIRED QUALIFICATIONS

  • At least one year of experience in operations or administrative coordination.
  • Experience with data entry.
  • Fluent in Dari, Pashto, and English preferably, written and oral communication.
  • Experience in providing interpretation and translation services is preferred.
  • Experience collaborating with the American Muslim community and/or collaborating with people from diverse cultural and socio-economic backgrounds and/or non-profit organizations preferred.
  • Knowledge and exposure of legal and social services at a nonprofit or private firm that provides immigration services preferred.
  • Working knowledge of Microsoft Office Suite.
  • Professional integrity and ability to maintain the confidentiality of sensitive data.
  • Strong organizational and time management skills, meticulous, ability to multi-task, and meet deadlines.
  • Excellent verbal and written communication skills.
  • Ability to work independently, be flexible, and work well under pressure in a fast-paced team environment.
  • Ability to interface with community members, clients, and potential clients with a high degree of professionalism and care.
  • Personal accountability and ability to take the initiative and direction.
  • Access to a reliable transportation and the ability to drive through central California.
