What you will be doing:
As an Administrative Assistant, you will serve our residents and executive team. Duties include:
- Performs typical administrative duties such as typing, photocopying, and filing associated with correspondence, notices, and other documents.
- Serves as a receptionist to the Administration Office; greets visitors and provides customer service to residents in need of assistance. Refers resident concerns to the appropriate department director or staff member for action/follow-up.
- Maintain confidentiality of sensitive documentation and information privy to the executive suite. Secures resident-related documents in administration office files and protects them from unauthorized access.
- Manages public room reservations for residents, family members, and staff.
- Oversees the administration office copy machine by ordering supplies, scheduling routine maintenance, and calling for service.
- Works to create, edit, type, format, copy, and distribute various newsletter publications, i.e., Weekly Press and RPP Reflections.
- Assists the President and executive leadership team as needed in the absence of the Senior Executive Assistant.
- Arrange and attend RPP Board of Directors Committee meetings and C-Suite meetings to provide accurate detailed minutes.
What we are looking for:
- Ability to uphold our core values, and follow policies and procedures.
- Three years of secretarial or administrative experience is required, preferably in an executive office setting.
- Strong customer service skills are required.
- Must take initiative, exceed resident expectations, have reliable transportation, and be on time.
- Most importantly have a positive attitude and can smile at all times (even under a mask).
- Proficient in Adobe PDF preferred.
- HS Diploma/GED preferred.
