Job Description

Position Function - Under the direction of The Keller Pointe Manager and/or Designee, performs administrative clerical responsibilities. Duties include, but are not limited to: customer service, financial processes and procedures, records retention and filing, drafting documents (e.g., correspondence, letters, memos, forms, brochures, flyers and presentations, etc.), procurement and special projects.

Essential Duties% of Performance

Performs duties necessary to support The Keller Pointe through the performance of clerical responsibilities. Duties include, but are not limited to: rental agreements, cash management, answering phone calls, online and email correspondence, scheduling appointments and training, drafting documents (e.g., correspondence, letters, memos, contracts, presentations, flyers and brochures etc.), webpage maintenance, and records management and retention. Responsible for the receipt, transmittal, and dissemination of mail. 50%

Performs duties necessary to process invoices, credit card statements and purchase orders. Assist with related financial reports, daily deposits, and procurement of goods and services. Responsible for tracking related items. 30%

Responsible for assisting with customer service duties. Duties may include, but are not limited to: front desk operations; website and online virtual tools; and general assistance.15%

Possible exposure to dust, mold, pool chemicals, humidity and wet, and electricity. Duties may also require prolonged periods of outdoor activities which may produce exposure to inclement weather and allergens.Requirements/Knowledge/Skills/AbilitiesRequired knowledge and experience is normally obtained through the completion of a curriculum resulting in either a High School diploma or GED, and three (3) to five (5) years of related work experience in business "clerical" is required. Administrative clerical certification or vocational training is preferred. Current Infant/Child/Adult/CPR and First Aid with AED certification from Ellis & Associates, American Red Cross or American Heart Association or ability to obtain upon employment offer is required. Ability to read letters, memos, contracts, professional and industry literature, spreadsheets and other job related analysis.Ability to understand and develop computer models for cost analysis and compose financial and budgetary reports.Ability to work outside normal business hours. Ability to prepare/compose documents, letters, memos, Public Notices, etc.Ability to conduct basic mathematical calculations. Ability to work under high demands, short time constraints, and the pressure of a fast paced work environment, meeting established timelines/deadlines and multi-task effectively.Ability to develop spreadsheets, reports, and other job related analysis.Ability to establish and maintain effective working and professional relationships with City and other public employees, public officials, contractors, consultants, vendors, and the general public. Must possess good oral and written communication skills, with the ability to communicate tactfully, impartially, and in a professional manner. Must be able to utilize good organizational skills, accurate filing, and efficient record keeping practices.Must have the ability to make sound decisions, problem solve, work well independently, and successfully work with confidential information.Competent in the use of Microsoft Excel, Word, Outlook and Power Point software. Knowledge of business English, punctuation, and spelling. Knowledge of the Texas Public Open Records Act, and Freedom of Information Act.Must possess a valid Texas Class C driver license. Must pass all post offer pre-employment processes and/or procedures, to include but not limited to Drug Screen, Physical Examination, and applicable Background Checks.
