Job Description

Community Services Coordinator Wild Dunes Community Association 843-886-8847 www.wilddunesowners.org Summary: Under the direction of the Chief Operating Officer and Client Services Manager, the primary purpose of this position is to support the day-to-day operations and initial point of contact for property owners and customers of the Wild Dunes Community Association located on the Isle of Palms. Performance Requirements: • Answer all inbound calls to the office • Responsible for office administration including office equipment, meeting reservation and setup, shipping and delivery services and office operations. • Responsible for the Print/Mail accounts, such as: UPS, Courier, Mailing House and USPS • Resident Directory – maintain and regularly update the resident directory • New Residents –set up new residents on the resident website and provide owners with information on WDCA’s Security gate access software, Community services, and services provided by the City of Isle of Palms and Charleston County • Prepare and distribute Welcome Packets to new owners. • Provide services related to gate access passes and barcodes and on-line access to the access passes portal • Sort and distribute mail • Receive and update reservations for the Beach House, collect deposits and review compliance with rules of usage. • Communicate with Community Manager on any maintenance or cleaning issues related to the Beach House or Association common property • Assist with reports, correspondence and events calendar maintenance • Responsible for purchasing and accounting for office supplies • Assist in the maintenance of files and databases, including scanning of correspondence and other documents • Maintain digital and paper files of Association forms and documents • Assist with correspondence, including general correspondence, Covenant violation notices and architectural review letters • Receive resident inquiries and concerns, create work orders for pertinent office staff, contractors or other departments • Customer service follow-up with homeowners and contractors • Any and all assignments as requested by the COO or Client Services Manager Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Ability to interact with a high level of focus on delivering high levels of customer service • Proficient in Microsoft office • Must be able to learn new technology and software systems • Must work cordially and effectively with co-workers, customers and others and share ideas in a constructive and positive manner Education: Requires an Associate’s or Bachelor’s Degree Experience: Minimum of two years work experience in a customer service environment Language Skills: Fluent in English with excellent writing abilities Certificates, Licenses, Registrations: Possess dependable transportation, a valid Driver’s License and automobile insurance for the purpose of running errands and travel to and from meetings as needed.
