Job Title: Student Records Coordinator
Reports to: Director of Advancement
FLSA Status: Salary Non-Exempt
Job Summary: We are seeking a highly organized and detail-oriented individual to join our team. The Student Records Coordinator has the principal responsibility for maintaining accurate student records, including enrollment and academic data and documentation. This includes managing the database (Blackbaud) and maintaining paper files, as appropriate, managing administrative tasks, and supporting the smooth functioning of the school's operations.
Duties/Responsibilities:
1. Student Records Management:
Maintain accurate and up-to-date student records, including enrollment, attendance, grades, and personal information.
Ensure compliance with regulatory requirements and school policies regarding record-keeping.
Coordinate the transfer of student records between schools as needed.
Collaborate across divisions to ensure accuracy and consistency of record keeping
Manage and process grade reports, instructor comments, transcripts, and other academic records, as needed
Oversee student attendance reporting and tracking, including checking students in and out of school for appointments, etc.
Maintain confidentiality and sensitivity when dealing with student-related issues.
2. Administrative Support:
Assist with administrative tasks such as scheduling, filing, and correspondence.
Manage rosters and class schedules in Blackbaud.
Provide support to teachers and staff with administrative needs as required.
3. Front Desk Support:
Serve as a point of contact for parents, students, and visitors, providing excellent customer service when needed.
Answer phones, respond to inquiries, and direct individuals to the appropriate staff members.
Assist with admissions inquiries and enrollment procedures.
4. Data Management:
Compile and analyze data related to student attendance, academic performance, and other metrics.
Generate reports and presentations as needed to support decision-making and planning.
Support management of database (Blackbaud), including training for others as needed
5. Collaboration and Communication:
Communicate effectively with parents, teachers, and administrators regarding student-related matters.
Collaborate with colleagues to ensure a cohesive approach to student support and administrative tasks.
Participate in meetings, workshops, and professional development activities as required.

Experience with Blackbaud and Google preferred
Bachelor’s degree preferred
Two to five years of experience in related fields
Proven success in a professional role
Required to stand, walk, talk, reach, sit, hear, handle, and perform repetitive motions of the hands/wrist.
Must be able to lift or move up to 40 pounds at times.
