General Purpose:

The Deputy Clerk position is responsible for processing files and documents, utilizing computer-driven data entry equipment to prepare and modify files, answering telephones and assisting the public. This position uses excellent organization skills and multi-tasking skills on a daily basis to complete assignments and communicate professionally with the public and staff. This position reports directly to the County Clerk-Clerk’s Office.

Essential Duties and Responsibilities:
  • Serves as information resource; provides general information on departmental, county and state policies and procedures within the area of assignment.
  • Answers telephone, greets and assists public in a professional manner and refers to appropriate department personnel as needed.
  • Responsible for the processing of all Sunshine Requests
  • Handles and sorts mail for the County Clerk’s office
  • Handles the swearing in for notary licenses’, and for boards and commission.
  • Responsible for court orders, stipulations, and occupancy of changes for real estate, personal property and business personal property, brought forth by the taxpayer.
  • Manages and maintains record center inventory including the following tasks:
    1. Assists other offices and departments in storing appropriate documents.
    2. Coordinates moving boxes from various departments.
    3. Receives logs, labels, and shelves county records.
    4. Responsible for the destruction of records as statutorily required.
  • Assists with licensing fees and other assistance at counter as needed.
  • Posts meetings and keeps commission/board information updated as available.
  • Scans resolutions and County documents from previous years
  • Receipts in and documents licensing, notaries, sunshine, and other funds in cash register
  • Performs other related duties as assigned and reasonably qualified to perform.
Knowledge, Skills, and Abilities:
  • Customer Service experience.
  • Use of large capacity scanners and copiers.
  • Respond tactfully and courteously in response to requests, inquiries, and complaints from public and County offices.
  • Ability to multi-task and work with others on common tasks
  • Use of cash register and money handling experience required.
  • Skill in performing work according to verbal and written instructions.
  • Must be able to speak, read and understand English.
  • Ability to safely carry out assigned tasks, duties, and responsibilities independently.
  • Ability to pass a drug-screening test.
  • Ability to handle detailed and stressful situations in an appropriate manner.
Minimum Qualifications:
  • High School graduate or GED
  • Intermediate to expert working knowledge of MS office products and other office equipment including fax, copier, etc.
  • Must be able to communicate professionally and effectively, using written and oral communication with all levels of staff and the public.
Desired Qualifications:
  • Experience supporting an executive level or elected official in a public agency.
Minimum ADA and Physical/Mental Requirements:
  • Sufficient clarity of speech and hearing or other communication capabilities, with or without reasonable accommodation, which permits the employee to discern verbal instructions, communicate effectively on the telephone and in person and to hear equipment alarms
  • Sufficient vision or other powers of observation, with or without reasonable accommodation, which permits the employee to comprehend written work instructions and review, evaluate and prepare a variety of written/typed documents and text materials
  • Sufficient manual dexterity, with or without reasonable accommodation, which permits the employee to operate standard office equipment and personal computer
  • Sufficient personal mobility, flexibility, and physical reflexes, with or without reasonable accommodation, which permits the employee to lift up to 25 pounds, to sit and work at a keyboard for an extended period of time, and work in an office environment
  • Must be legally licensed and insured to operate a motor vehicle
Work Environment:
  • Work is typically performed in an office setting. The noise level in the work environment is typically moderately quiet; at times, the noise level may be loud, with frequent interruptions and multiple demands.
