United Building Company, An Affordable Housing Contractor is looking for an Administrative Assistant to join the team. We specialize in building multi-family apartments throughout the Los Angeles area.

 

Role Description

We are seeking a full-time Construction Administrative Assistant to join our team at United Building Company Inc. located in Granada Hills. As a Construction Administrative Assistant, you will be responsible for coordinating with project managers, engineers, and other team members to ensure smooth operations and timely completion of projects. In addition, you will perform a variety of administrative tasks such as organizing documents, processing invoices, and responding to emails and phone calls.  You will need to be good with Excel spreadsheets as well as Microsoft word.  This will include some accounting responsibilities so bookkeeping skills are preferred.

 

Job Description

  • Work with Project Managers on Project Closeout Documentation - Warranty Manuals and Maintenance Manuals
  • Create Binders and CD's for Clients
  • Follow up on billing
  • Follow up on getting revised proposals during bidding and buy out phases of the project
  • Follow up on invoice releases
  • Keep Trade CO logs updated with Project Managers
  • Follow up on calls for proposal requests
  • Keep project warranty tracking log updated
  • Miscellaneous

 

Qualifications

  • High school diploma or equivalent required; additional training or education in office administration or construction technology a plus
  • Minimum of two (2) years of experience in administrative support preferably in the construction industry
  • Excellent organizational and time-management skills
  • Strong written and verbal communication skills
  • Experience with Microsoft Office Word, Excel, PowerPoint, and Google Suite
  • Ability to work well with others in a team-oriented environment
  • Detail-oriented and ability to multi-task
  • Knowledge of project management software, such as Procore or PlanGrid, is a plus
