Department Summary

The department of University Communications (UC) is charged with telling the University of Oregon's (UO) stories to a broad range of audiences and positioning the university to succeed and thrive. The department utilizes and manages a comprehensive suite of communications tools, including public relations, branding, advertising, licensing, digital media, and more for the benefit of the university.

Operations and Administrative Services (OAS) is a sophisticated shared services unit that provides essential services to promote the university's priorities and operate within a framework of efficient business practices. All OAS professionals serve in partnership with the complex divisions of University Advancement (UA) and University Communications (UC). Additionally, services are provided to the UO Board of Trustees, the University of Oregon Alumni Association's (UOAA) Board of Directors, and other boards and volunteer bodies.

Position Summary

The Finance and Business Administration Manager (manager) is responsible for the management of the University of Oregon Alumni Association's (UOAA) portfolios between $100k and $22M, depending on the UOAA's fund location(s) and 60+ external chapter accounts. This position reports to the Director of Finance and Business Administration (director) and regularly interacts with the UOAA's finance board committee, and with external state and federal agencies on behalf of the director.

The manager makes frequent independent decisions in support of senior management decisions. The manager must be able to explain and reinforce guidelines and procedures as set by the Director of Finance and Business Administration, Association's Board and Bylaws, University Policy, and State and Federal regulations. Information and provided analysis must be accurate, timely, and appropriate. Ad Hoc priority requests frequently need to be independently vetted, prioritized, and triaged. Work is largely independent with frequent direct responses to senior management and executives in various parts of the UOAA, the university, and the University of Oregon Foundation (UOF). This position completes work across a sophisticated accounting structure consisting of one service center, two separate 501c3s (UOAA and UOF), and many accounting indices, making full, consistent, and accurate use of UOAA and university accounting policies and regulations, GAAP, and grant support functions.

This position is a principal liaison to the central budget and resource planning and business affairs offices, the university, and other financial managers across campus, and has primary responsibility over all UOAA budget adjustments within the UOAA accounting system, as well as a principal liaison to the UOF finance, gift processing, and membership processing teams. The manager provides comprehensive budgetary reporting and analysis for supported units across the organization, participates in multiple university, UOAA, and UOF groups and committees, and may be called upon to act in the capacity of the director in the director's absence.

This position is located in Eugene, and will be required to work in person approximately one day per week. During audits and tax season, this position may need to work in person up to three days per week.

Minimum Requirements (updated)

 Bachelor's degree in Finance, Accounting, or a related financial field; or equivalent combination of education and experience.
Five years of experience in accounting, financial management, analysis, budgeting, or related specialty.
Two years of supervisory experience OR five years of lead staff experience.

Ability to manage stressful situations with tact and diplomacy and to use sound judgment and initiative, particularly as it relates to handling sensitive and/or confidential information.
Advanced skills using the web and computer programs including Microsoft Office Word and other products.
Demonstrated experience in project management, including the ability to do proactive outreach and establish professional connections across multiple departments.
Strong analytical skills, independent judgment, and ability to effectively interact with a wide range of people.
Ability to interact, communicate, and work effectively with individuals, recognizing and respecting the many and varied identities of each person.
Commitment to promoting and enhancing diversity, equity, and inclusion.

Preferred Qualifications

Advanced degree in business, financial administration, or accounting.
Non-profit accounting experience or a non-profit certification.
CPA or PA certificate.
Experience working in a finance or budget position in an office of advancement or alumni association at a college or university.
Experience working for a foundation or 501c3, preparing IRS forms 990 and 990T.
Knowledge of GAAP principles.
