Key Responsibilities:
  • Ensure all project-defined processes, standards, and methodologies are applied consistently, verifying that project teams follow required procedures and compliance expectations.
  • Support the coordination and timely delivery of all project outputs, including deliverables, schedules, status reports, project plans, and other required documentation.
  • Prepare meeting agendas, capture detailed and accurate meeting minutes, document action items, and distribute relevant materials to internal teams and clients following each meeting.
  • Coordinate data collection activities across teams, ensuring accuracy and completeness of inputs used for reports, metrics, dashboards, and data analysis.
  • Collaborate closely with project managers, other project coordinators, and cross-functional teams to ensure all aspects of the project lifecycle receive the necessary administrative and operational support.
  • Monitor the status of deliverables, milestones, and team assignments; identify potential delays or risks early; and communicate priority items to stakeholders and escalate issues promptly to the Project Manager.
  • Assist with maintaining and updating project management tools and sites, including the risk register, action log, issue log, deliverables log, lessons learned log, and process improvement log.
  • Assist the Project Manager with monitoring emerging issues, dependencies, or workload constraints and escalate them to the Project Manager and PMG Manager to support timely resolution.
  • Demonstrate strong verbal and written communication skills, tailoring information to the appropriate audience and maintaining a high level of organization in all work products.
