Rancho Santa Fe Golf Club, a private, members-only club located in Rancho Santa Fe, CA seeks an experienced hospitality professional to join the team as the Club's Catering Manager. This position is responsible for the coordination, planning, and successful execution of all Banquet and Club sponsored events. The successful candidate will use all available and appropriate mediums of communication and resources to maintain and promote new business for the Club and maintain the catering software and program information.

POSITION RESPONSIBILITIES

Administration:

  • Involvement in all aspects of major club functions including Food & Beverage events, seasonal parties, major and minor golf events, and private member events
  • Create Banquet Event Orders (BEO) for all events
  • Responsible for the sales, marketing, and promotion of all member events, functions, and activities, ensuring that all member/guest expectations are exceeded
  • The Events/Catering Manager will attend and supervise all banquet events in the Club. Supervises the set-up, breakdown, staffing levels, and quality of service while maintaining Food & Beverage financial goals
  • Assist Food & Beverage Director as needed in the day-to-day operations of the department
  • Work with Food & Beverage Director in the requisitioning of staff and scheduling of events, catering and banquets
  • Work with Food and Beverage Director and Executive Chef to determine pricing for catered events, BEO's and event contracts/agreements
  • Develops positive working relationships with members, guests, coworkers, and vendors
  • Compiles banquet forecast information and develops banquet and catering budget on an annual basis
  • Monitors expenses and plans purchases accordingly
  • Effectively budgets and maintains profit and loss statements for all Club events
  • Effectively forecasts revenues for upcoming months, including booked and tentative events
  • Understands and explains misses or overages to budget and forecast
  • Facilitates distribution of completed weekly BEO packets.
  • Leads weekly BEO meeting
  • Maintains discretion concerning the publicity of the Club or its members
  • Performs all reasonable requests made by management
  • Responsible for proper billing of all Club events

Event Coordination and Execution:

  • Books Banquet and Club Events based on space availability and type of function. Maintains an accurate event calendar to ensure there are no date conflicts or duplicate bookings.
  • Oversees all party bookings to ensure Club policies are being followed and maintained. Uses the best judgment in dealing with members and guests.
  • Facilitates Club and Banquet Events.
  • Actively follows up with members for feedback after events.
  • Oversees and maintains Catering Software to ensure member and guest account information, menus, and inventory items are kept current and all catering and management staff is adequately trained to use the system. Focuses on maintaining an accurate record of events and contact information and makes notes that will assist booking of the event in the future.
  • Maintains professional relationships with all outside vendors, photographers, florists, entertainment companies, etc., to ensure Club needs are met on a timely basis and at the best possible pricing. Uses established and proven vendors.
  • Completes event Banquet Event Orders (BEO) and ensures they are delivered in a timely and accurate fashion. Ensures that Pop-up bookings are sent out immediately to all pertinent departments.
  • Helps to coordinate Banquet Menus with Chef by noting items that are not selling or suggesting items that should be sold.
  • Coordinates Club events in a fiscally responsible manner. Is hands-on in working events as necessary. When booking large events, is present at the beginning of the meal time or as long as needed to facilitate details.
  • Maintains an accurate historical file for all Club events.

Marketing:

Creates and adjusts marketing campaigns to engage the community in an effort to make the Club the preferred private event and meeting destination.

QUALIFICATION STANDARDS

Education/Experience:

  • Must be able to read, write, speak and understand English.
  • Bachelor's Degree in field or minimum 2 years' experience in the field of Event Planning, hotel experience a plus.
  • Good human relations skills, and strong verbal and written communication skills to effectively deal with people at different organizational levels both inside and outside the organization.
  • Well-developed problem-solving skills and ability to develop conceptual alternatives. Must possess the ability to seek out new methods and innovative ideas and be willing to incorporate them into existing activities and practices.
  • Highly organized with the ability to multi-task.
  • Jonas experience is a plus.
  • Basic computer skills (Word, Excel, Outlook, etc.) knowledge is essential.
  • Work independently while understanding the necessity for communicating and coordinating work efforts with other employees and the organization.

Schedule Notes:

  • Normal Schedule from 9:30 a.m. – 6:00 p.m. Tuesday to Saturday and scheduled as needed based on the needs of a certain day's events.
  • Required to work Sundays, evenings, and holidays as needed.
  • Must be punctual and maintain good attendance.
  • Will be required to work Club events or other large functions.
  • May be required to work nights to take photos, conduct check-in duties, and ensure the success of Club events.
  • Due to the cyclical nature of the club, employees may be required to work varying schedules to reflect the business needs of the operation. PHYSICAL DEMANDS

  • Must have the ability to sit, stand or move for long periods of time.
  • While performing the duties of this job, the employee is required to stand, walk, climb stairs, balance, stoop, kneel, crouch, crawl and/or sit up to 12 hours per day.
  • Use hands to finger, handle, or feel objects, tools, and/or controls.
  • Ability to reach with hands and arms.
  • Hearing and talking sufficient enough to communicate with members, guests, and co-workers.
  • Specific vision abilities include close vision, vision sufficient enough to read, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Must be able to push, pull or lift up to 30 lbs.
  • Independent mobility throughout the Clubhouse.

COMPENSATION & BENEFITS

  • Salary is competitive within the industry range of $75,000 - $85,000, commensurate with experience and qualifications.
