About You

You are a service-oriented professional who serves as the primary Workplace and Facilities Management (FM) point of contact for the site. You take ownership of the day-to-day employee and guest experience & events, acting as the on-site lead for FM services, vendor coordination, and workplace operations. Highly organized and detail-oriented, you are execution-focused with strong listening, communication, and multitasking skills. You bring a hospitality mindset to everything you do and are comfortable leading daily office operations, events, and employee requests with confidence, professionalism, and flexibility. Your role is critical to ensuring a consistent, well-managed, and high-quality workplace experience for client employees and guests.

  • At least one (1) year working in a lively office or workplace environment, preferably supporting office operations, events, hospitality, or customer service and at least three (3) years' experience managing workplace or office workplace operations.
  • Strong organizational skills with the ability to manage multiple priorities, vendors, and requests simultaneously.
  • Excellent interpersonal, written, and verbal communication skills with a customer-service mindset.
  • Comfortable supporting events, meetings, and daily office activity in a fast-paced environment.
  • Proficient with web-based tools and applications, including Microsoft and Google platforms.
  • Hands-on, flexible, and team-oriented approach with a proactive "no job is too small" mentality.

 Responsibilities

  • Perform intake and coordination on all client and employee requests, including but not limited to:
    • Managing and tracking service requests and work tickets related to workplace operations, space needs, and event support.
    • Overseeing logistics for in-office meetings and events including space set up / decor, catering and post meeting reset and cleanup.
    • Creating detailed event timelines, schedules, checklists, and execution plans.
    • Coordinating with vendors, suppliers, facilities teams, and internal partners to ensure seamless delivery.
    • Coordinating catering, and office setup as requested or required.
  • Serve as Workplace and Event coordinator delivering professional, friendly, and consistent hospitality experience to site stakeholders and guests.
  • Partner closely with the Workplace Manager and vendors to support smooth day-to-day office operations.
  • Coordinate and support meetings, events, and space requests from planning through on-site execution.
  • Be on-site during events to manage setup, troubleshoot issues, and ensure smooth operations.
  • Coordinate vendors and contractors as needed to maintain quality, safety, and timeliness.
  • Maintain clear and proactive communication with employees, and site stakeholders throughout the planning and execution process.
  • Track event-level budgets and expenses, ensuring cost efficiency while meeting experience expectations.
  • Support inventory management, ordering, and oversight of site consumables and deliveries.
  • Gather feedback post-event or post-engagement to identify opportunities for improvement and continuous enhancement of the workplace experience.
  • May perform other duties as assigned.
