The Joint, Office of the Secretary of Defense, Interagency Division provides expert support services to a range of customers spanning across the Department of War, Federal Civilian, and international markets. JOID provides a diverse portfolio of analytical and programmatic capabilities to help our customers make informed decisions on their most challenging issues.
The Acquisition and Technology Analysis Group within JOID specializes in the application of multi-disciplinary analytic skills to support multiple clients within the Department of War (DoW). These clients include the Office of the Under Secretary of War for Research and Engineering (OUSW(R&E)), Office of the Under Secretary of War for Acquisition and Sustainment (OUSW(A&S)), DARPA, the Joint Staff, and USINDOPACOM. SPA provides critical decision support to enabling and executing a strategy of technological superiority and enabling the delivery and sustainment of secure, resilient, and preeminent capabilities to the warfighter quickly and cost effectively. Our team of experienced military, technical, and operations research analysts is skilled in evaluating military problems, identifying the driving factors, devising innovative approaches, collecting applicable data, developing necessary software tools, and performing thorough and timely assessments to inform technology and acquisition governance decisions to ensure U.S. military forces retain military superiority in the future.
We have an immediate need for a Sr. Workflow Manager to provide onsite support out of the Pentagon.
Responsibilities
We are seeking a proactive, detail-oriented Sr. Workflow Manager to deliver exceptional support to executive leaders in a fast-paced, dynamic environment. Will be responsible for ensuring the accuracy, completeness, and timely progression of correspondence packages, reports, and taskings across the organization. Anticipate needs, manage competing priorities, and maintain seamless workflow continuity with minimal oversight. Provide high-quality workflow management support to senior executives, ensuring all taskings, correspondence, and decision products meet required standards and deadlines. Monitor and expertly managing the Correspondence and Task Management System (CATMS) to route, track, coordinate, and reconcile actions across multiple classification levels. Drive timely completion of all assigned actions through proactive follow-up, coordination with Action Officers, and early identification of issues or delays. Communicate senior leadership decisions effectively and ensure they are captured, routed, and documented appropriately across the organization. Maintain and improve correspondence control systems for both classified and unclassified documents. Support the development, implementation, and upkeep of records management policies, including ongoing transition to a modern electronic records environment. Provide high-level administrative and workflow support to senior staff, including calendar coordination, information synthesis, and routine reporting. Operate effectively under pressure while managing multiple, simultaneous actions in a high-tempo, collaborative environment. Exercise sound judgment and discretion in handling sensitive and time-critical information.
Qualifications
Required:
  • 10+ years of recent and relevant experience providing high-quality support to Executive-level personnel in fast-paced and complex environments.
  • Bachelor's degree.
  • Proven experience in correspondence management and coordination, with a focus on drafting and reviewing documents for senior leadership.
  • Strong knowledge of records management practices and demonstrated skills in training and process improvement.
  • Excellent communication and interpersonal skills with the ability to interact effectively with diverse stakeholders, including senior leadership and external organizations.
  • Strong initiative, exceptional organizational skills, and high proficiency in CATMS.
  • Active TS/SCI clearance.
  • Able to work fully onsite based on client needs.

Desired:
  • Experience working within the DoD or familiarity with military protocols, policies, and operations.
  • Proficiency with office automation tools and project management software, enhancing the efficiency and effectiveness of documentation and task tracking.
  • Familiarity with National Archives and Records Administration (NARA) requirements for records management.

Pay Range Information

Elements of the compensation package include competitive base pay and variable compensation opportunities.
