We are looking for a versatile and practical person to join our team as a Office & Warehouse Operations Associate.

About the company and the role:

VetNova Animal Health is a Spanish startup in full international expansion, and we are looking for a key boots-on-the-ground team member. If you are motivated by a startup environment and role variety, this position is perfect for you: you will balance hands-on tasks in our local warehouse (receiving and preparing orders) with daily administrative support and direct coordination with our headquarters in Spain.

What would you do?

Administration & Office:

  • Financial Operations: Manage invoicing, purchase orders, collections, and provide support for office budgeting and expense tracking.
  • Office Administration: Handle phone calls, emails, visitors, and ensure office supplies are consistently stocked.
  • Reporting & Analysis: Prepare and learn to analyze sales reports and other strategic documents to support management decision-making.
  • HR: Assist with the implementation of personnel management and HR practices in accordance with company guidelines.

Warehouse Operations & Logistics Management:

  • Orders preparation: Domestic and International.
  • Operations Oversight: Manage the full product lifecycle, including receiving, optimized storage, and order fulfillment in a safe and efficient manner.
  • Inventory Control: Conduct regular inventory audits and ensure adequate stock levels to meet demand.
  • Purchasing & Technical Supplies: Manage the procurement of specialized materials (labels, warehouse supplies) and product-related materials.
  • Safety & Compliance: Maintain a clean and organized warehouse while ensuring compliance with all applicable safety regulations.

International Support & Coordination:

  • Process Alignment: Coordinate and ensure that administrative processes accurately and efficiently comply with international shipments.
  • Cross-Department Liaison: Act as the key link between headquarters in Spain, International Department and Domestic office.
  • Systems & IT Support: Serve as the primary point of contact with the IT team to ensure technological alignment and the proper functioning of digital tools.

What are we looking for?

  • Education: Business Administration associate degree or in a related field.
  • Languages: Fluency in both English and Spanish.
  • Some experience is preferred but not required.
