About the Role

The Event Coordinator is the hands-on engine behind our events. You execute every logistical detail across 25-plus events a year, from travel and venues to materials and registration, serve as the on-site point person who keeps things moving in the moment, and keep the records that hold it all together.


This position is based at Project MFG Headquarters in Kansas City, KS.


What You'll Do

  • Book and manage travel, hotels, catering, and itineraries across the full slate of events and experiences.
  • Handle venue booking, vendor coordination, and event registration.
  • Manage event schedules and run-of-show, and coordinate setup, teardown, and on-site logistics so every event runs smoothly.
  • Serve as the on-site point person, making sure things are happening as planned and solving problems in real time.
  • Act as the first line on on-site issues, escalating when needed.
  • Manage swag, apparel, and competition materials inventory, and coordinate shipping and receiving so everything arrives on time.
  • Collect and track photo and video releases and consent forms, especially those involving students and minors.
  • Maintain accurate participant and attendee records and feed participation data back to the events and marketing teams.
  • Support post-event wrap-up, including materials return, records close-out, and reporting.
  • Represent Project MFG warmly and professionally on-site with participants, vendors, and guests.


What You Bring

  • 1 to 3 years of experience in event coordination, hospitality, logistics, or administrative support.
  • A track record juggling multiple events, deadlines, or projects at once, with strong organization and follow-through.
  • Sharp attention to detail across logistics, records, and materials.
  • A calm, resourceful presence that stays composed as plans change on-site and under pressure.
  • Customer-facing experience that shows warmth, professionalism, and diligence.
  • Fluency with event and tracking tools: registration platforms (e.g., Cvent), CRM, travel and booking tools, Excel or Google Sheets, and Microsoft Office.
  • Comfort with frequent travel and working on-site, including evenings and weekends around event schedules.
  • Readiness for on-site physical activity, including setup, materials handling, and being on your feet during events.


Education

  • High school diploma required. Coursework or a degree in event management, hospitality, communications, marketing, or a related field preferred.
