Job description

iT1, a leading national technology solution provider headquartered in Tempe, AZ, is looking for a skilled and experienced Event Coordinator to join our Marketing team. iT1 has been ranked as one of Arizona's Best Places to Work for over a decade, running in the Small Business category. As the Event Coordinator at iT1, you will support the execution of high-quality internal and customer-facing events from concept to completion. This role will focus on the operation and logistics of end-to-end event planning, vendor coordination, and onsite execution to ensure events run smoothly, on time, and within budget. The ideal candidate will have a strong background in event management, thrive in fast-paced environments, and be comfortable managing multiple projects simultaneously. 

Requirements

  • Own the planning and execution of 25 Trade Shows where iT1 exhibits and/or attends.
  • Own virtual webinars and events from start to finish and reconcile invoices in an accurate and timely manner
  • Manage all aspects of event execution, including venue coordination, exhibitor registrations, sponsorship deliverables, booth logistics, shipping, vendor management, and on-site support.
  • Manage internal & client facing events from start to finish and reconcile invoices and event debriefs in an accurate and timely manner
  • Partner with Sales, Marketing, and Executive Leadership to maximize event impact and business outcomes.
  • Conduct post-event analysis, reporting, and ROI measurement to drive continuous improvement.
  • Build the registration platform, speaker preparation, event marketing, attendee communications, and post-event follow-up.
  • Proactively troubleshoot issues during planning and onsite to ensure flawless execution.
  • Track attendee engagement and performance metrics to improve future programs.
  • Maintain organized event data including files, contracts, and post-event reports.
  • Ensure all eligible events include partners with MDF funding
  • Record all event costs for accuracy
  • Assist in annual budget planning to forecast following year's event schedule
  • Collaborate with Marketing to improve operational efficiencies and enhance attendee experience.
  • Place shipment orders from warehouse inventory in a timely manner
  • Assist with warehouse tracking for event inventory
  • Research and place orders with SWAG vendor
  • Be an asset to the Marketing department as needed and as time permits

JOB QUALIFICATION REQUIREMENTS:

  • 2+ years of experience in event planning, production, or operations
  • Associate's or Bachelor's degree in Marketing, Business, or related work experience a plus
  • Excellent organizational and project management skills with the ability to prioritize competing deadlines
  • Excellent communication and interpersonal skills
  • Strong time management skills with the ability to multi-task and prioritize
  • Proven ability to work independently while also being a strong team player
  • Adaptable to changing circumstances on short notice
  • Able to work flexible hours, including evenings and weekends as event schedules require
  • Demonstrated project management capabilities and budget management
  • Ability to travel once every 4-8 weeks

PREFERRED SKILLS:

  • Ability to anticipate needs and solve problems quickly under pressure
  • Proficient with CVENT, Monday.com, Canva & Microsoft Office Suite
  • Strong negotiation skills
  • Experience supporting lead generation and demand generation initiatives
  • Knowledge of Technology Channel partners and programs a bonus

PHYSICAL DEMANDS MAY INCLUDE:

  • Ability to stand and walk for extended periods during event setup, execution, and breakdown
  • Must be able to lift and carry up to 25 pounds occasionally (e.g., event materials, supplies)
  • Comfortable working in a variety of environments, including indoor and outdoor venues
  • Ability to bend, stoop, and reach as needed for event setup and logistics
  • May require travel up to 15-20% and long hours during peak event periods
  • Must be able to use standard office equipment and communicate effectively in person and via digital platforms
  • Computer work for up to 8 hours per day
