Job Overview:
  • Responsible for supporting subrecipient monitoring, compliance tracking, site visit coordination, and documentation management to ensure audit-ready records, timely reviews, and effective communication across programs and stakeholders.

Requirement/Must Have:

  • Experience in compliance monitoring, subrecipient monitoring, contract compliance, grants administration, or audit documentation.
  • Strong attention to detail and ability to maintain accurate and organized records.
  • Strong written and verbal communication skills.
  • Strong proficiency in Microsoft Office (Excel, Outlook, Word, PowerPoint).
  • Ability to manage multiple priorities and deadlines effectively.
  • Ability to work independently with minimal supervision and deliver accurate outputs.

Experience:

  • Experience coordinating site visits, meetings, training sessions, and multi-stakeholder logistics.
  • Experience maintaining compliance tracking systems, documentation, and follow-up records.
  • Experience using REDCap, SharePoint, or similar tracking/document management tools.
  • Experience reviewing contracts and supporting compliance follow-up actions.
  • Experience documenting site reviews, findings, and corrective action plans.
  • Experience coordinating compliance training sessions and webinars.
  • Experience entering and managing data across multiple systems and databases.

Responsibilities:

  • Coordinate site visit logistics including agendas, attendees, documents, and scheduling.
  • Support in-person and virtual compliance site review activities.
  • Monitor compliance inbox and respond to inquiries and follow-ups.
  • Deploy and manage pre-site review questionnaires using REDCap.
  • Track required documentation and send reminders to ensure readiness.
  • Maintain site review reports, findings, and corrective action documentation.
  • Take detailed meeting notes and upload documentation to SharePoint.
  • Pull invoices and reports to support pre-review verification activities.
  • Review contracts to ensure compliance with policies and procedures.
  • Track corrective action plans and follow up on required documentation.
  • Maintain organized compliance records in SharePoint and related systems.
  • Respond to compliance requests and support administrative initiatives.
  • Coordinate compliance training sessions, webinars, and logistics.
  • Develop or support presentations for compliance reporting and leadership updates.
  • Ensure timely communication with internal and external stakeholders.
  • Travel as required to support site review visits and compliance activities.
