Job Purpose
The position of Assistant, Accounting and Office Administrator reports directly to the Vice President, Administration and Finance and indirectly to the President and Vice President of Operations. This position is onsite only and will be Responsible for administrative support to ensure the efficiency and organization of the office. Carries out administrative duties such as filing, data entry, typing, copying, binding, scanning, ordering office supplies etc. This position will also assist the Payroll and Office Administrator with processing weekly Union payroll as well as other administrative duties and the Senior Accountant with accounts payable and accounts receivable processing.
Key Accountabilities
  • Accurate and timely fulfilment of all duties assisting the daily administration of the office to the President, Vice President's, Senior Accountant and Payroll and Office Administrator. Exhibits polite and professional communication via phone, e-mail, and mail Maintain and administer the company website.
  • Distribute daily mail and correspondence.
  • Prepare accounts payable invoices for payment and approval and forwards to Senior Accountant.
  • Prepare accounts receivable documents for billing and forwards to Senior Accountant.
  • Posts all incoming checks to a spreadsheet, prior to deposit by the Senior Accountant.
  • Enter daily fuel activity into ProMiles.
  • Preparation and documentation of all drug and alcohol polices and plans, as well as the monthly and quarterly reports associated with the plans.
  • Maintain information in ISNetworld Maintains and scans all company files
  • Maintains critical document file.
  • Maintains and "pulls" the random drug testing list, monthly, and is the sole receiver of all test results.
  • Types and distributes all correspondence between the Company and Union.
  • Accurate and complete documentation of all union mechanic and union driver personnel records.
  • Establishes all driver new hire files.
  • Establishes and maintains all vehicle fleet information on the TGMS computer system.
  • Completes the unemployment paperwork received and monitors the monthly statements.
  • Timely processing of vehicle registrations for the Transgas fleet Maintains and updates a complete listing of all insurance certificates issued.
  • Timely preparation of overweight permits for the Transgas fleet Submission of all vehicle accident reports as well as personal injury reports to the insurance carrier.
  • Prepares OSHA reports from the personal injury reports.
  • Orders all office supplies and services.
  • Completes travel and hotel reservations for all management and union personnel as needed Special projects as requested.

Qualifications
  • A minimum of 3 years experience in office administration role.
  • A minimum high school diploma or equivalent.
  • Superior proficiency with Microsoft Word.
  • Proficiency of appropriate software including: Microsoft Excel and Outlook, PowerPoint and Adobe Acrobat.
  • The ability to type 60 words per minute.
  • Knowledge of Microsoft Dynamics GP a plus but not required.
  • Knowledge of website administration a plus but not required.
  • Knowledge of payroll processing a plus but not required.
  • Knowledge of ADP Workforce Now software a plus but not required.
  • Trucking industry and/or LNG industry experience a plus but not required.
  • Superior organizational skills with strong attention to detail and determination for accuracy.
  • Strong interpersonal relationship skills.
  • Ability to work independently and complete a wide variety of tasks in a timely manner.
