Job description

Position Overview
The Volunteer Scheduler plays a vital role in ensuring the success of our Meals on Wheels program by coordinating and supporting volunteers who deliver meals to older adults in our community. This position is responsible for scheduling volunteers, maintaining accurate records, coordinating training, and providing operational support to ensure daily meal delivery routes are fully covered. When volunteer coverage is limited, the Volunteer Scheduler may assist with meal deliveries to ensure uninterrupted service.
Key Responsibilities
  • Create, maintain, and distribute monthly volunteer schedules for all delivery sites using scheduling technology.
  • Communicate schedules, reminders, and open routes to volunteers.
  • Manage day-to-day schedule changes, including volunteer availability, conflicts, and call-offs.
  • Proactively fill open delivery routes and notify leadership and site coordinators when coverage gaps occur.
  • Maintain an accurate and up-to-date volunteer database.
  • Collaborate with site coordinators to ensure appropriate volunteer placement and coverage.
  • Train new volunteers, ensuring proper route assignments.
  • Deliver meals when volunteer coverage is insufficient.
  • Assist with agency fundraising and community events as needed.

  • Provide excellent customer service to volunteers, staff, clients, and the public.

  • Follow all safety guidelines and organizational procedures.
  • Attend required meetings and trainings.
  • Perform other duties as assigned in support of the agency's mission.

Requirements
• High School Diploma or equivalent required.
• Minimum of three (3) years of experience in customer service, scheduling, or volunteer coordination preferred.
• Minimum of three (3) years of experience using Microsoft Office applications preferred.
• Minimum of three (3) years of experience working with database or volunteer management software preferred.
Salary Description
$16.00-$17.00/HR
