Position Overview

We are looking for an experienced Translation/Localization Project Manager to play a critical leadership role in managing translation projects, building client relationships, and driving operational excellence. This position is ideal for a highly organized, detail-oriented professional who enjoys balancing project management, client communication, reporting, and process improvement.

In addition to managing complex and high-volume translation projects, this role is responsible for client quoting, invoicing oversight, linguist onboarding, reporting, and supporting revenue growth initiatives.

Key Responsibilities

Translation Project Management

  • Manage translation projects from initial client request through final delivery and invoicing.
  • Coordinate translators, editors, and other language professionals to ensure quality and on time delivery.
  • Manage large-scale, enterprise-level, and complex translation projects.
  • Utilize Phrase and other translation technologies as required.
  • Maintain project documentation and ensure compliance with internal procedures.
  • Build relationships with clients by communicating proactively with clients and linguists throughout the project lifecycle.

Client Quoting & Revenue Support

  • Prepare accurate translation quotes, including pricing and delivery timelines.
  • Follow up on outstanding quotes and maintain quote tracking reports.
  • Identify opportunities to expand services and contribute to revenue goals.

Invoicing & Accounts Receivable

  • Review completed projects and prepare accurate billing documentation.
  • Verify project charges and vendor invoices.
  • Coordinate with accounting to ensure proper billing.
  • Assist with collection efforts on past-due client invoices as needed.
  • Ensure project records are accurately maintained in HubSpot.

Reporting & Process Management

  • Prepare operational reports and project updates for management.
  • Present translation project updates during weekly team meetings.
  • Complete quarterly reporting requirements.
  • Maintain accurate client and project records.
  • Review, update, and document work instructions and operational processes.

Client Relationship Management

  • Monitor client activity and identify customers requiring outreach.
  • Maintain strong client relationships and account retention.
  • Help ensure exceptional client satisfaction and service delivery.

Linguist Recruitment & Onboarding

  • Source, screen, and qualify freelance translators and linguists.
  • Review applications, resumes, rates, and experience.
  • Manage onboarding documentation and agreements.
  • Maintain internal linguist databases and records.

Additional Responsibilities

  • Assist with case study development and marketing content.
  • Share industry trends and topics for marketing communications.
  • Support operational initiatives and complete special projects as assigned.

Qualifications

Required

  • Bachelor's degree or equivalent experience.
  • Minimum of 3 years of successful experience as a Translation/Localization Project Manager.
  • Strong written and verbal communication skills.
  • Exceptional grammar, proofreading, and attention-to-detail skills.
  • Demonstrated ability to manage multiple priorities and deadlines.
  • Strong problem-solving and organizational abilities.
  • Proven ability to work independently in a remote environment while collaborating effectively with a team.
  • Client-focused mindset with a proactive, positive attitude.
  • Experienced with TMS, preferably Phrase.

Preferred

  • Experience managing complex or enterprise-level translation projects and relationships.
  • Familiarity with HubSpot, Phrase, CAT tools, Adobe Acrobat, Adobe InDesign, WordPress, and WPML.
  • Previous experience working remotely.
