Position Summary Information
Duties
The Records Support Specialist reports to the Registrar and provides general information and assistance to students and former students. The Records Support Specialist will assist in transitioning the transfer student from the Registrar's Office to the Advisor by reviewing evaluations and offering pre-guidance for course applicability. This position will also provide administrative support associated with the Registrar's Office.
ESSENTIAL FUNCTIONS:
• Provide general records information to students, former students, etc.
• Monitor and maintain registrar email account daily.
• Process and distribute mail for Registrar's Office.
• Assist students with forms and process requests in Banner.
• Manage and process in-house official and unofficial transcript requests.
• Scan and index documents into Application X-tender/Banner Document Management.
• Provide administrative support to the Registrar's Office, such as clerical, travel, purchasing, etc.
• Perform review of transcript evaluations and determine the need for applying any adjustment to the Degree Works audit of the student evaluation as pre-guidance, prior to advising.
• Assist with data entry needs of the Registrar's Office.
• Monitor and provide maintenance of Data Warehouse errors each semester.
• Meet annual goals established by the Provost and Vice President for Academic and Student Affairs.
• Serve as a member of a team dedicated to improving enrollment management.
• Maintain up to date technological skills and use efficiently in job performance functions.
• Comply with all policies of the University.
• Demonstrate flexibility and adaptability to changing work scope and tasks based on need.
Complete and/or assist with other tasks as assigned by the Registrar.
Qualifications
QUALIFICATIONS REQUIRED:• Associate's Degree, required. Bachelor's Degree, preferred.
• Knowledge of Microsoft Office Suite, preferred.
• Advising experience, preferred.
• Clerical skills, preferred.
OTHER QUALIFICATIONS REQUIRED:• Ability to maintain confidentiality.
• Ability to work with minimal supervision.
• Must be able to work well with others in a team atmosphere.
WORKING CONDITIONS:
• Must be able to remain in a stationary position, such as standing and/or sitting, for a prolonged period of time
• Occasionally tasked with filing, which may require low postures such as crouching, kneeling, and/or stooping
This position requires constant communication with others to exchange information
• Frequently uses hands/fingers to operate a computer and other office productivity machinery, such as copier, printer, etc.
• Frequently uses near vision for the use of computers and reading small print
• Occasionally exposed to noisy environments
