Job description

Position: Tenant Services Coordinator

Location: Jersey City, New Jersey

Employment Type: Full-time

Compensation: 75,000

Position Overview

The Tenant Services Coordinator will serve as the primary liaison between tenants and property management, ensuring a high level of customer service and operational efficiency. This role supports tenant onboarding, communication, and compliance while assisting with administrative and financial processes. Collaboration with property managers, building staff, and vendors is essential to maintain smooth building operations and tenant satisfaction. Must be legally authorized to work in the United States.


Responsibilities

  • Act as the primary point of contact for tenants from lease signing through lease termination, maintaining accurate contact and emergency information.
  • Provide tenants with required documentation, welcome packages, and facilitate communications including memorandums and notices.
  • Maintain and monitor the Workspeed tenant work order system to ensure timely resolution of requests.
  • Oversee tenant and vendor Certificate of Insurance (COI) compliance.
  • Follow up with property staff to confirm tenant requests and complaints are addressed promptly.
  • Keep building managers informed of any issues, including those involving contracted staff.
  • Perform general office duties such as answering phones, handling mail, maintaining supplies, and greeting visitors.
  • Schedule meetings, events, and manage common area conference room usage.
  • Generate, code, and enter purchase orders and invoices using Ivalua under direction of management.
  • Assist property managers in ensuring tenant charges and bill backs are accurate and processed promptly.
  • Maintain property records and update building operations manuals monthly.
  • Complete other tasks as delegated by senior management and building leadership.

Required Experience/Skills

  • Minimum 2 years of experience in property management or commercial real estate.
  • Strong verbal and written communication skills with ability to interact effectively with tenants, vendors, and senior management.
  • Ability to facilitate conflict resolution and maintain positive relationships.
  • Excellent organizational and time management skills with attention to detail.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Reliable, flexible, and able to demonstrate initiative consistently.

Preferred Experience/Skills

  • Familiarity with Yardi, Workspeed, and Ivalua systems.
  • Experience managing tenant relations and compliance documentation.
  • Ability to handle multiple priorities in a fast-paced environment.
  • Strong problem-solving skills and customer service orientation.
  • Demonstrated ability to work collaboratively as part of a team.
