Saul Centers’ primary operating strategy is to continue its program of internal growth, renovations, and expansions of community and neighborhood shopping centers that primarily service the day-to-day necessities and services subsector of the overall retail market.

The Property Tenant Coordinator will assist the Property Managers in the management of the properties, prepare contracts and purchase orders, prepare and manage temporary leases, dispatch tenant service calls, maintain contract records and scan documents.

Duties & Responsibilities of the Property Tenant Coordinator:
  • Daily
  • Prepare and manage Temporary Leases.
  • Prepare Contracts and Purchase Orders for approved expenditures.
  • Maintain EAF, Contract and Purchase Order tracking and files.
  • Process and follow up on Insurance Claims.
  • Input invoices to the APPA system, and code for approval by managers.
  • Respond to, log, call in and track roof leaks. Maintain warranty book.
  • Handle and direct concerns/questions of tenants.
  • Maintain chron files for managers.
  • Prepare and distribute invoices to tenants for billable services.
  • Process (date stamp and distribute) mail.
  • Answer telephones and dispatch messages.
  • Distribute inter-departmental documents and notices.
  • Maintain tenant file records.
  • Prepare memos and letters, distribute notices.
  • Keep tickler file for certified mail return receipts for filing.
  • Prepare and distribute leave memos for engineers.
 
  • Weekly
  • Maintain filing system for each manager
  • File all correspondence in lease files (BPC)
 
  • Monthly
  • Send correspondence to tenants concerning defaults.  Create file to track compliance.
  • Keep inventory of office supplies and re-order as needed.
 
  • Quarterly
  • Update managers’ photo library of shopping centers.
  • Update tenant and contractor library.
 
  • As Needed
  • Prepare books for officers for site review meetings twice a year.
  • Update property roof plans and parking lot plans yearly or as EAF is approved.
  • Provide warranty information on new roof recoveries for roof book.
Job Requirements (Skills / Abilities) of the Property Tenant Coordinator:
  • Microsoft Word/Excel/PowerPoint
  • Microsoft Teams
  • Adobe Acrobat or Nitro PDF Pro (Paintshop is a plus)
  • YARDI, AP Process, Workorders
  • Copier/Scanner/Binder
Experience / Education for the Property Tenant Coordinator:
  • 2 or more years relevant experience
  • Any post-secondary education preferred or commensurate work-related experience 
The actual base pay offered is determined by several variables, including, as appropriate, the applicant's qualifications for the position, years of relevant experience, distinctive skills, level of education attained, certifications or other professional licenses held.  Base pay is one component of Saul Centers Inc. total compensation package, which also includes access to or eligibility for healthcare benefits, a 401(k) plan, short-term and long-term disability coverage, basic life insurance, bonus plans and more.
