Clerical Tech Association (CTA)

  FLSA: Non-Exempt   Temporary/Continuing:  Continuing   Part-Time/Full-Time: Full-Time   Union Group: Clerical-Technical Association (MEA-NEA)   Term of Position: 12 Month   At Will/Just Cause: Just Cause   Summary of Position: Provide responsible, independent secretarial support in accordance with established departmental policies and procedures. This position is located in the Charter Schools Office (CSO). This is a CTA/MEA-NEA bargaining unit position.
The anticipated start date for this position is October 1, 2026. However, this is an estimated date and can be revised if needed.   Position Type: Staff   Required Education: Satisfactory completion of two years of college or equivalent.
The listed requirements represent the required knowledge, skills, and/or abilities. Any equivalent combination of education, training, and experience that provides the required knowledge, skills, and abilities may be considered. Equivalency for education: Two years of full-time, related work experience equals one year of education.   Required Work Experience: Two years of full-time secretarial work experience, including public contact where tact and diplomacy are required.
Proficient in data entry and accurate typing skills; proficient in Microsoft Office 365, especially Microsoft Word and Excel.   Required Licenses and Certifications:     Physical Demands:

  Additional Education/Experiences to be Considered:     Essential Duties/Responsibilities: Independently answer routine correspondence. Draft non-routine correspondence for review and approval of supervisor.
Research information to support incoming and outgoing communications.
Prepare and maintain information for documents such as correspondence, memos, and reports, using computer software such as word processing, spreadsheets, databases, and file management.
Input, retrieve, download, and output information utilizing a computer to access various software
programs and systems.
Answer or refer inquiries from academy staff and the general public regarding established policies and procedures.
Support the Director and Associate Director.
Perform bookkeeping/recordkeeping/calculations for such things as employee assignments,
departmental budget expenditures, encumbrances, balances and reconciliations, and deposits.
Plan, process expenses, and monitor travel budget for staff, including using Concur.
Establish and maintain filing and recordkeeping systems.
Perform any/all duties as defined in the Secretary, Level 1 position description.
Interview, recommend for hire, train, and direct student employees.
Coordinate special departmental functions, such as meetings, conferences, workshops, and seminars, by scheduling facilities, preparing agendas, and arranging services and equipment.
Maintain the confidentiality of designated information.
Carries out responsibilities in accordance with university policies and applicable laws.
Cultivates an environment of belonging that values, respects, supports, and celebrates individual similarities and differences, allowing students, faculty, and staff to thrive authentically.
Support, promote, and develop university student enrollment and retention initiatives.
Any other duties assigned within the position classification area.   Marginal Duties/Responsibilities: Provide back-up assistance for other clerical positions and perform routine office support duties.
Attend meeting and conferences in absence of supervisor.
Skills and Abilities: Communicate effectively in a variety of situations.
Input, retrieve, download, merge, and output information from software programs and systems.
Operate a variety of office machines and equipment such as a computer, multi-line telephone, and copier.
Perform basic mathematical operations with accuracy.
Plan, organize, and make sound judgments and decisions.
Use computer software such as word processing, spreadsheets, and databases.
Utilize the rules of proper grammar, correct spelling and punctuation, and correct arrangement of information.
Demonstrated successful experience working directly with people from diverse backgrounds, including cultural, educational, socioeconomic, and life experiences.   Required Documents:
