Summary Statement

This level has responsibility for the maintenance and control of inmate case history files and records.\r\n

Essential Functions

Essential functions are fundamental, core functions common to all positions in the class series and are not intended to be an exhaustive list of all job duties for any one position in the class. Since class specifications are descriptive and not restrictive, incumbents can complete job duties of similar kind not specifically listed here.\r\n\r\n Verifies and reviews sentencing orders and translates orders length of time into calendar dates for earliest and latest possible dates for parole, for transfers to less stringent facility and release from custody; calculates/applies statutory 'good time', time already served, and meritorious time to reduce sentence. \r\n Establishes and maintains inmate case files containing classification data, inmate conduct, confidential information, legal documents and miscellaneous data; Prepares identification file for use by Correctional Officers escorting inmates outside of the institution. \r\n Uses automated information systems to enter, update, modify, delete, retrieve/inquire and report on data. \r\n Verifies that there are no outstanding charges, warrants or capias prior to inmate release. \r\n Answers inquiries from inmates, their relatives, court personnel, police agencies, attorneys and counselors; Testifies in court to provide data from inmate's case history file. \r\n Serves out-of-state warrants to inmate and explains legal rights and options pertaining to warrant; Explains terms and conditions of bail to inmate and obtains signature agreeing to terms. \r\n Reviews legal documents for completeness, accuracy and compliance with state and federal laws. \r\n Prepares various reports. \r\n\r\n

Job Requirements

JOB REQUIREMENTS for Correctional Records Specialist \r\nApplicants must have education, training and/or experience demonstrating competence in each of the following areas:\r\n\r\n Six months' experience in document processing such as reviewing and evaluating records for completeness and conformity with laws, rules, regulations, standards, policies, and procedures, resolving deficiencies, and tracking and monitoring activities. \r\n Six months' experience in interpreting court documents such as warrants, court orders or sentence orders. \r\n Six months' experience in interpreting laws, rules, regulations, standards, policies, and procedures. \r\n Six months' experience in using an automated information system to enter, update, modify, delete, retrieve/inquire and report on data. \r\n\r\n

The candidate selected for this position shall be asked to join and pay dues to the labor organization or may, decline joining the labor organization and not pay dues or a fee. The labor organization has been elected by employees as their representative for collective bargaining and other work related purposes.\r\n\r\n\r\n\r\nPre-employment Drug Testing: Upon a conditional offer, you must undergo pre-employment drug testing as part of the hiring process. \r\n\r\n\r\n\r\nCriminal background check: A satisfactory criminal background check is required as a condition of hire. The recruiting agency may require the applicant to pay for the criminal background check as part of the conditional offer of hire.\r\n\r\n\r\n \r\n\r\nUpon a conditional offer, the applicant must undergo a pre-employment base line two step tuberculin skin test (TST) as part of the hiring process.\r\nAll new hires are required to report to the Statewide New Employee Orientation (SNEO) on their first day of employment. Sessions are held at designated locations in Kent or New Castle County.\r\n
