Job description

Job Description Summary:
Fenwick is seeking a Temporary Attorney Recruiting Coordinator who will collaborate closely with the Attorney Recruiting team and other teams across the firm to coordinate recruiting efforts related to hiring law students, lateral attorneys, partner recruiting, entry-level associates, temporary attorneys, staff attorneys, and patent agents.
This position can be based in our Silicon Valley (CA) or San Francisco (CA) office locations and offers a hybrid work arrangement, allowing you to work both from home and at your designated Fenwick office. The frequency of in-office work will be determined by business needs and guided by your department's directives.
Job Description:
  • Schedule and coordinate candidate interviews.
  • Schedule call-back interviews and greet recruits. Gather interview evaluations and prepare evaluation packets for the Hiring Partners and Recruiting Managers. Follow up on decisions, including initiate letters to candidates, update records and monitor follow-up calls.
  • Draft and finalize attorney offer letters.
  • Work closely with Legal Personnel, Human Resources, and other departments as needed to understand offer letter terms and manage negotiation of terms with candidates.
  • Handle offer correspondence and new hire processing, including, but not limited to, initiating background requests and conflicts checks.
  • Coordinate expense and cost sharing for candidates.
  • Generate reports, including LawCruit, Workday, Smartsheet, recruiting database and other spreadsheets.
  • Build and maintain good relationships with universities and other educational institutions.
  • Assist in developing ongoing relationships with search firm consultants, ensuring that these resources are provided up-to-date information about the firm, our practice, hiring goals and standards.
  • Post job ads and source potential candidates.
  • Act as a liaison with lateral hires, search firms, and summer associates.
  • Work closely with the Senior Manager of Attorney Recruiting and law school team to coordinate Summer Program events, summer associate work assignment system, track evaluations, follow-up with attorneys, coordinate mid-summer and exit reviews.
  • Prepare registration materials for fall on-campus interviewing, coordinate law school and hotel arrangements for on-campus interviewers if needed and register for law school on-campus interviews when applicable.
  • Work closely with the Senior Manager of Attorney Recruiting and law school team to coordinate spring law school presentations, law firm branding events and receptions.
  • Work closely with team members on various programs, meetings, and events, including the coordination of all arrangements, mailings and marketing for programs, presentations, and receptions.
  • Work closely with the Senior Manager of Attorney Recruiting on identifying and registering for STEAM Career Fairs related to Patent Engineer and Patent Scientist hiring.
  • Work closely with the Senior Attorney Recruiting Manager on scheduling partner recruiting interviews and updating partner candidate dashboard and other materials/databases as requested.
  • Coordinate hiring and pre-arrival actions for lateral attorneys, including reference checks, conflicts submittals, State bar verifications and relocation.
  • Act as a liaison with lateral hires, coordinating new hire paperwork, start dates and relocation as needed.
  • Collaborate with other departments to arrange first-week orientation and integration activities.
  • Staff and coordinate temporary document review needs of the firm, including, but not limited to, requesting conflicts checks, processing hires in Workday and maintaining the temporary attorney's status throughout the review engagement.
  • Collaborate with Lateral Recruiting Manager in assisting new hires with immigration applications as needed.
  • Perform other related duties and assist with projects as assigned.

DESIRED SKILLS AND QUALIFICATIONS:
An individual should demonstrate the following competencies to perform the essential functions of this position:
  • Knowledge of the attorney recruiting processes.
  • Strong attention to detail and organizational skills.
  • Effective written and verbal communication skills.
  • Excellent interpersonal skills with the ability to work well with all levels of firm personnel as well as external clients, including search firms and vendors.
  • Flexible with the ability to adapt to changing work situations and handle multiple priorities in a fast-paced environment.
  • Highly motivated and creative.

Reporting to the Senior Manager of Attorney Recruiting, the ideal candidate will have 2+ years of recruiting/recruiting coordination experience, preferably in a law firm or professional services environment. Proficiency in MS Office and recruiting database software (preferably Workday and LawCruit) preferred. Bachelor's degree or equivalence in education and/or experience strongly preferred.

The anticipated range for this position is:
$68,000 - $95,750
Depending on the role, the actual base salary offered may depend upon a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job.
A discretionary bonus for eligible employees may also be available based on performance. Additional information about employee eligibility for benefits and discretionary bonus will be made available upon request.
