About the Job
 

Position Summary
The Temporary Administrative Support role provides administrative and operational support for the Division of Prosthodontics in Restorative Sciences. This role assists faculty and students by recruiting, screening, and scheduling patients for a Digital Denture Course and maintaining the daily administrative functions related to the course. The position helps ensure continuity of operations and a professional environment for faculty, students, and visitors.

Temporary Position: As a temporary position, the employer will decide the length of employment as needed. Applicants are encouraged to review job responsibilities and take note of the position's temporary nature. 
Key Responsibilities

Administrative and Course Coordination (45%)

  • Secure preferred rooms needed for course instruction
  • Communicate with IT to ensure access to course materials
  • Create spreadsheets used for organizing schedules and share to necessary course support
  • Communicate with Primary Care Clinic support/leaders as needed
  • Communicate with course director as needed
  • Coordinate with treatment planners
  • Print materials and stuff envelopes to be distributed to eligible patients
  • Update voicemail recordings as needed to reflect course status

Patient Outreach (45%)

  • Reach out to patients via text/email to screen for eligibility for services and schedule screenings accordingly
  • Maintain a record of patient outreach efforts, including leaving voicemails and returning telephone calls as required.
  • Employ supplementary methods for patient recruitment, such as advertisements in local newspapers and mailing letters to established patients.

Office Operations and Suite Management (5%)

  • Maintain a clean, organized, and professional office suite environment.
  • Assist with office supply organization and labeling.
  • Maintain conference room readiness and shared spaces
  • Foster a welcoming and professional atmosphere for faculty, residents, and visitors.
Qualifications

Required Qualifications

  • High School Diploma or GED
  • Excellent communication skills (oral and written), interpersonal, organizational, analytical, and data management skills with an ability to work collaboratively with diverse audiences
  • Demonstrated ability to set priorities, handle multiple tasks and work independently
  • Strong attention to detail; demonstrated ability to organize
  • Familiarity with Google Workspace or similar office productivity tools.
  • Demonstrated ability to manage recurring tasks with a high level of accuracy, organization, and attention to detail.

Preferred Qualifications

  • Bachelor's Degree
  • Prior administrative or program coordination experience.
  • Experience working in an academic environment.
  • Experience working in a clinical or healthcare setting is preferred.

Pay Range: $25.00 - $32.00; depending on education/qualifications/experience.
