Job description

Project Assistant

The Project Assistant will provide project coordination and follow up for electrical projects through all phases of the project lifecycle. This role is also responsible for assistance with service-related response, scheduling assistance, and invoice generation. The individual will be responsible for customer relationship management, vendor coordination, and key communication and required flow of communication. This role will report directly into Project Management and will be under the umbrella of VP of Construction.

Responsibilities will include but will not be limited to:

  • To assist project management team with weekly labor projections, commitments, and scheduling.
  • Assemble, publish, and submit required project data and track approval process.
  • Distribute approved product data to vendors and assist project manager in required releases of said product.
  • Upload, edit, and distribute project data and shop drawings between customer ERPs and organizational processes software.
  • Assemble, draft, and actively update required logs via software vehicle relating to RFI's, Submittals, and coordination.
  • Assist in change order pricing and proposal development.
  • Perform regular schedule updates and provide explanation of schedule.
  • Collaborate with the project team and other supporting departments to define and manage deliverables.
  • Project schedule management and documentation.
  • Quality compliance, issue tracking and escalation, updates to customers, vendor and sub partnership, coordination and management independently and with urgency.
  • Support the project managers and the leadership team with key day to day project coordination activities.
  • Distribute all short interval and overall project schedules.
  • Ensure subcontractors have the most up to date scope of work.
  • Ability to review drawings and specifications to become completely familiar with the project and identify long lead times and critical path items.
  • Develop a project submittal log and obtain designer's approval.
  • Manage said submittal log and ensure all submittals are processed promptly.
  • Attend weekly project meetings as requested by Project Manager and keep detailed meeting minutes for publishing to project team.

Requirements and skills:

  • Proficiency in Microsoft Office and project management software.
  • Highly organized and able to multitask and oversee several projects simultaneously
  • Strong attention to detail and problem-solving skills
  • High energy, self-starter.
  • Strong coordination skills and self-discipline.
  • Excellent communication skills, both verbal and written
  • Ability and desire to work collaboratively to ensure successful project execution
  • Working knowledge of necessary industry-related tools
  • Expert-level experience with computer operating systems, such as Microsoft and MacOS
  • Highly organized and detail-oriented with a passion for ensuring projects proceed efficiently and effectively.

Qualifications

  • 2-3 years of construction or electrical hands-on experience in either in technical or project management support capacity preferred.
  • Experience in Computer Aided Drawing (i.e AutoCAD, Revit) is preferred
  • Experience in Project Management Tools (i.e ProCore) is preferred
  • 2-3 years of hands-on experience with Project Schedule Management or scheduling tools.
  • Associates Degree preferred, but not required.
  • Electrical/Mechanical/Construction vocational school or degree a plus
  • 30 hour OSHA Construction certification preferred.
