ESSENTIAL FUNCTIONS:
  • Serve as receptionist for the main office: phone and door
  • Student Management System - update student information, enter daily attendance/tardies for all students, attendance reports (daily & monthly), maintains on a weekly basis,sends out attendance and tardy letters weekly
  • Bus routes: list of student names and addresses for each bus list # on enrollment cards
  • Maintains student files of medical notes, parent notes for absences, etc
  • Compiles and e-mails daily attendance report for staff
  • Student records: Obtain new student enrollment information, including health and academic records; properly permit the release of withdrawn student information
  • Yearbook - coordinating/compiling pictures and sale of yearbook
  • End of year awards for Awards Day in May
  • Report Cards: Print and distribute to teachers, create honor roll, post recognition, prepare honor roll awards and other student recognitions
  • Volunteer forms: collect and file all background checks; keep database; update names of volunteers for teachers on shared drive
  • Maintain a list of students that have restraining orders on file
  • Assist the nurse in emergency situations
  • Assist Secretary/ECA treasurer in performing duties as needed
  • Review and distribute hard copy and electronically school newsletter - bi weekly
  • Record behavior referrals in management system
  • School photographer - takes photos of all events and visitor presentations
  • Distributes awards for FEARSOME 15 math facts incentives
  • Posts any information in the collections cases (main hall and south wing)
  • Update electronic sign, Facebook and Twitter
  • Run student birthday report monthly
  • Run class list and prepare cover letter for field trips
  • Perform other secretarial duties as required by the building principal

QUALIFICATIONS:
  • The preferred candidate must have excellent communication and technology skills
  • The preferred candidate must maintain confidentiality of all school information
  • The preferred candidate will have school secretarial experience
  • The preferred candidate must be knowledgeable and skilled using Word, Excel, etc. and have experience with data input
  • The preferred candidate must have an excellent attendance record and must be dependable.
  • Nurture a positive relationship with super-ordinates, subordinates and peers.
  • Demonstrate respect for super-ordinates, subordinates and peers
  • Support corporation decisions and direction relative to matters of policy and administrative directives. Work as a team player
