As an essential member of a highly organized team, you will be responsible for delivering a seamless and positive end-to-end recruiting experience in a fast-paced and evolving environment. This role requires a hyper-detailed professional capable of managing significant coordination, data management, and operational support across global time zones. This is a contract position, fully remote.

As a Talent Acquisition Operations Specialist you will:

  • Detailed Document Review: Meticulously review and compare candidate documents, including cross-checking resumes against formal applications and verifying employment dates for accuracy and compliance.

  • Coordinate the Experience: Schedule and manage interviews across various formats (remote/offsite, and onsite) and global time zones. Act as the main liaison between candidates, recruiters, and interviewers.

  • Own Admin, Systems, & AI: Maintain accurate, compliant candidate records in Workday, Rooster and other systems. Utilize AI tools to streamline document review, communication, and administrative tasks.

  • Manage Logistics & Confidentiality: Process candidate travel expenses, upload NDAs to Workday, and issue contingent worker contracts and background checks via DocuSign. Maintain strict confidentiality with all sensitive candidate and company information.

  • Process & SOP Optimization: Contribute to data and operational support, helping to streamline TA documentation and Standard Operating Procedures (SOPs). Identify patterns and process inefficiencies in data.

  • Stakeholder Management: Effectively manage relationships and communicate with diverse stakeholders across the global business.

We Are Excited About You If You Have: (Required Qualifications)

  • Experience: 2 to 4 years of a practical background in Coordination, or Recruiting Operations, plus a Bachelor's degree or equivalent working experience.

  • Attention to Detail: Exceptional organizational skills and strong attention to detail to juggle multiple moving parts and handle tight deadlines.

  • Technical Proficiency: Demonstrable experience using Workday and Rooster. Proficiency in Google Suite or Microsoft Office.. Familiarity with leveraging AI tools for operational efficiency.

  • Communication: Excellent written and verbal communication skills.

  • Adaptability: An understanding of how fast-paced environments work, and the ability to pivot smoothly when the day's priorities change.

  • Availability: Ability to work occasional overtime as needed to support global recruiting efforts or during peak periods.
