Job description

The goal for STRUCTURE Commercial Real Estate as related to finding a Business Support Manager for full-time employment will be to match an applicant’s strengths and interests, to this job scope below and then customize for full benefit for each you and the company. A new team member will look to build additional knowledge in business administration as it relates to commercial real estate. You will be working directly with other STRUCTURE managers in commercial property management along with the advisors in the brokerage area of company. This is a salaried position with bonus opportunities. Range of annual salary is $38,000 to $45,000, commensurate to skillset and experience to the below objectives. Medical Benefits, Defined-benefits (401k) and Paid-Time-Off are available. All compensation is subject to necessary tax withholdings and fees associated with payroll administration by STRUCTURE

BUSINESS ADMINISTRATION

The following will be tasks required but not limited to:

· Participate and drive agendas for sales and operational meetings to of Company as part of ongoing activities or strategic initiatives;

· Work with designated employees, contractors, interns and/or principal to get involved on a property-specific administration, including, but not limited to, review of company marketing platforms to ensure all materials in such external and internal databases are current and accurate;

· Be able to create and understand a transaction completion package which includes public relations steps and components;

· Become familiar with standard commercial real estate documentation and terminology;

· Updating and reporting using the company customer relationship management (CRM) software weekly;

· Participate in “live” input for any necessary ideas for improvement our existing or potential operations. Our firm wants our employees to give cognitive input and get involved and be vested in success of Company;

· General administrative duties including reception, answering phone calls, taking pictures at properties and events, and providing information for any inquiries necessary or requested.

MARKETING

The following are tasks required but not limited to:

· Marketing Material – help review, improve and create marketing and presentation material for existing and new clients (flyers, offerings, brochures, email blasts, property updates, etc.). The use of social media, marketing using ‘cloud-based platforms’ will be included in this scope.

· Learn the process of marketing commercial real estate properties and services and how each varies for the different forms of real estate transactions. This will educate you as to the different services lines and revenue opportunities for commercial real estate and how an effective and ‘smart’ marketing presentation and strategy effects the success factor of completing transaction.

· Learn the basics of how to use well company software tools to complete research and updated databases. Being proficient at both Apple OS and Microsoft OS platforms are a plus.

· The periodic enhancement and updating of website and inclusion of video, blogs, social media, case studies are encouraged.

BOOK-KEEPING / ACCOUNTING

The following are tasks required but not limited to:

· Putting together monthly financial reports completed by senior staff for management and clients;

· Reconciling and enter billing data within property management software (Yardi);

· Tenant / Client setup within property management software (Yardi), including lease abstracting, expense reconciliations, capital budgeting

· Administering client transaction files, accounting files and project close-out process;

· Generate months tenant’s statements and distribution monthly using property management software (Yardi);

· Review and match rent collections and accounts receivables to leases and monthly tenant statements

· Enter property bills as they arrive/Save digital copy of all bills in property management software;

· Maintain a recurring expense spreadsheet for properties to ensure all bills are received/paid

· Create KPI’s and create data analytics for property management month-to-month and year-to-year operational efficiencies.

Technical Capabilities

The following are technical experience and knowledge/training is preferred, if not required:

· Microsoft Office Suite (Word, Excel, Powerpoint) required *Mac OS (Apple) equivalent is acceptable

· Quickbooks Accounting Software experience is preferred;

· Yardi Voyager or Property Management software experience is preferred;

Overview of Time

· Work Hours

· Monday through Thursday from 8:00 AM ET – 5:00 PM ET and Friday from 8:00 AM ET to 12:00 PM ET. The ability to revise, add or contract days and hours are open for discussion as mutually acceptable and with understanding that performance and completing objectives are not diluted or incomplete.

· Estimated start date of employment is between August 17, 2026-August 31, 2026 period, contingent on all background and payroll information is completed and on file with Company and policy and procedures manual has been reviewed and signed.
