Job Summary

The Sr. Administrative Support position follows clearly detailed specific procedures in completing several repetitive clerical steps performed in prescribed or slightly varied sequence, such as coding and filing documents in an extensive alphabetical file; could involve simple posting to individual accounts, opening mail, calculating and posting charges to departmental accounts, operating basicย  office equipment, e.g., photocopier, facsimile, multi-line phone/voicemail systems, mailing machines, and minimal computer programs.ย  Little or no subject-matter knowledge is required, but the clerk uses his or her own judgment in choosing the proper procedure for each task.ย  ย This is a highly supervised position. The Sr. Administrative Support position works closely with their manager and assists with additional delegated duties revolving around training and learning managerial tasks.

Job Duties and Responsibilities

Leadership

Proactively manage the activities of assigned administrative support employees by ensuring the following functions are efficiently performed in a quality-oriented environment reflecting company values.

Administrative Functions

  • Prepare and submit wage garnishment documents and gather legal documentation
  • Prepare and submit administrative resolution documents and gather legal documentation to be submitted to the client
  • Prepare and submit Department of Justice litigation documents and gather legal documentation
  • Work independently in the absence of immediate supervision
  • Confirm payment arrangements
  • Notify debtors of payments returned due to insufficient funds
  • Prepare legal referral documents
  • Communicate with employers regarding employment verifications and garnishment orders
  • Communicate with debtors regarding requested documents
  • Process payments including but not limited to: checks, misdirected payments, debit cards,ย 
  • Review accounts and schedule contact dates for follow-up calls
  • Knowledge of collection practices
  • Knowledge of collection software/databases
  • Proper telephone etiquette
  • Modern office procedures, methods, and computer equipment
  • Demonstrates knowledge of FDCPA and CFPB regulations
  • Follow up with places of employment for garnishment payments.
  • Additional duties as assignedย 

Security

Information and Physical Security is the responsibility of every employee.ย  In your position you are required to safeguard the computer systems by following proper username and password management which includes selecting challenging passwords and committing them to memory, they should not be written down or stored where others can freely have access.ย  This also includes securing your desk and workstation when you are not there. This includes locking your session and putting sensitive paperwork away when not physically at your desk.ย  You are not to share your username or password with anyone. The physical security of our offices of are equal importance, never shadow or let someone shadow your entry into a Coast Professional, Inc. facility. If this occurs quickly report this action immediately.ย  You are required to follow all Information Technology policies and procedures regarding the management of your system accounts and equipment. If you witness any security violation you should immediately report it to management.

Qualifications

Education

  • High school diploma or GED required

Experience

  • Experience in collections or related profession required. Supervisory experience preferred.ย 

Knowledge, Skills and Abilities

  • Working knowledge of modern office procedures, methods, and computer equipment
  • Excellent communication skillsย 
  • Principles and practices of customer service
  • Establish a good working relationship with team members and internal contacts in order to maintain and continuously strive to improve the level of overall service being provided
  • Assist in the training and development of new and current collection support representatives
  • Good organizational skills and attention to detail
  • Ability to comply with rules, regulations, laws and methods as related to debt collection
  • Work independently in the absence of immediate supervision
  • Ability to handle and resolve recurring problems.ย 
  • May be required to undergo and pass applicable background checks
  • Knowledge of collection practices

  • Modern office procedures, methods, and computer equipment

Clearanceย 

As a federal contractor, this position requires U.S. citizenship and security clearance granting access to classified information. The background investigation is conducted by the Office of Personnel Management (OPM) and is an evaluation of the whole person to determine suitability. The suitability review begins after a conditional offer of employment has been accepted and will include a review of your employment, education, residences, references, criminal history and credit, as an example.ย  Some of the most important factors in an investigation are the individualโ€™s honesty, candor, and thoroughness in the completion of their security forms. In rare instances, non-U.S. citizens with highly specialized skills and experience may also be considered for the security clearance process.

Licensingย 

This position requires you are eligible to be licensed as a collector in certain states. Coast will submit and maintain all required individual collector licensing on your behalf.ย
