Spa Administrative Assistant - Miraval Austin

As a Spa Administrative Assistant, you will play an essential role in supporting the daily flow of the spa while helping to create a seamless, thoughtful experience for both guests and colleagues.
This role provides administrative support to the Spa Director and contributes to all facets of spa operations. The ideal candidate brings a calm, organized presence, strong attention to detail, and a genuine passion for wellness and service. You will serve as a key connector-supporting communication, fostering collaboration across departments, and ensuring the spa environment reflects the Miraval ethos.
We are looking for someone who is highly organized, adaptable, and eager to learn. This individual thrives in a dynamic environment, approaches tasks with intention, and is ready to take on additional responsibilities as needed. Strong communication, problem-solving, and interpersonal skills are essential, along with the ability to manage multiple priorities with grace and efficiency.
Key Responsibilities
- Provide administrative support to the Spa Director and spa Leadership team
- Coordinate and manage day-to-day administrative tasks with accuracy and efficiency
- Maintain strong, collaborative relationships across resort departments
- Administrative Support - Provide clerical and administrative assistance to the Spa Manager and leadership team, including preparing reports, organizing documents, and maintaining files.
- Cleanliness and Organization: Ensure the reception and retail areas are tidy, well-stocked, and aligned with the spa's brand standards.
- Support projects and initiatives that enhance the guest and colleague experience
- Scheduling Coordination - Assist with maintaining staff schedule balancing and communicating updates to spa therapists and operational team members.
- Appointment Scheduling - Manage and coordinate spa leadership calendar and availability, to ensure efficient daily operations.
- Facility Coordination - Communicate with housekeeping, maintenance, and other departments to ensure treatment rooms and spa facilities meet operational standards.
- Guest Reception & Service Support - Provide professional guest assistance as necessary.

- Compliance & Confidentiality - Maintain confidentiality of guest and employee information and ensure adherence to company policies and spa operational procedures.
- Team Collaboration - Work collaboratively with spa staff and leadership to support smooth daily operations and deliver an exceptional guest experience
