For our North American headquarters, located in La Mirada, California, we have an immediate opening for a Solutions Coordinator.

Summary

The Solutions Coordinator provides coordination and operational support to the bid desk and assists with the preparation and submission of RFPs. This role is responsible for CRM management, proposal and RFP coordination, bid desk support, customer onboarding documentation, reporting, opportunity tracking, and process organization.

The ideal candidate is highly organized, detail-oriented, proactive, and capable of managing multiple priorities while maintaining accuracy in a fast-paced environment. This position serves as a key support resource to the Solutions Operations Manager and works closely with Solutions team to help ensure proposal materials are accurate, complete and submitted on time. The position will also work cross-functionally with sales, Marketing, Customer Care, and other departments.

Responsibilities

  • Coordinate proposal, RFP, and bid desk activities from intake through submission
  • Track proposal opportunities, deadlines, deliverables, and submission schedules
  • Maintain CRM records, opportunity updates, contact records, and activity tracking
  • Support customer onboarding documentation, renewals, and account administration activities
  • Prepare, organize, proofread, and maintain proposal documentation and supporting materials
  • Coordinate with internal departments to gather required documents, content, and approvals
  • Maintain reporting metrics, dashboards, and operational tracking records
  • Support contract documentation and customer opportunity administration
  • Maintain organized document libraries, templates, certifications, and operational resources
  • Assist with process documentation, workflow improvements, and operational initiatives
  • Provide administrative and operational support to the Solutions Operations Manager
  • Identify opportunities to improve efficiency, organization, and process consistency
  • Support additional departmental initiatives as assigned to support business objectives.

Qualifications

  • Associate's or Bachelor's degree in Business Administration, Communications, or related field preferred.
  • 2+ years of experience in operations support, sales support, proposal coordination, project coordination, CRM administration, or related administrative roles
  • Strong organizational, time management, and project coordination skills
  • Excellent written and verbal communication skills
  • Strong attention to detail and accuracy
  • Experience managing multiple priorities and deadlines simultaneously
  • Proficiency in Microsoft Office Suite, including Excel, Outlook, and Word
  • Experience with HubSpot, Salesforce, or similar CRM platforms preferred
  • Ability to work independently and collaboratively across departments
  • Experience supporting reporting, onboarding, proposal coordination, or operational processes preferred
  • Ability to pass a pre-employment drug and background screen
