Executive Assistant, Studio Leadership & Operations

Raven Software is seeking a highly capable, proactive Executive Assistant to support our Studio Head. This is a high-trust, high-impact role focused on protecting executive time, strengthening communication flow, and ensuring leadership initiatives move forward with clarity and follow-through.

In addition to executive support, this role partners with Studio Operations, HR, IT, and Communications on clearly defined studio coordination responsibilities, while remaining primarily focused on enabling leadership effectiveness in a fast-paced, creative environment.

This role is ideal for someone who anticipates needs, exercises strong judgment, and takes pride in helping senior leaders operate at their best.

This role is based in our Middleton, WI office and follows an onsite work schedule of four days per week. Work arrangements may change at the company's discretion to meet business needs.

Executive Support & Time Management
  • Own and manage the Studio Head's calendar, including scheduling, prioritization, and travel coordination
  • Serve as a primary liaison for internal and external stakeholders interacting with the Studio Head's office
  • Draft and manage meeting agendas, notes, and executive follow-ups to ensure alignment and accountability
Project Coordination & Leadership Operations
  • Track action items, decisions, and timelines across leadership initiatives
  • Coordinate leadership meetings, offsites, and executive visits
  • Partner with department leaders to facilitate clear information flow and alignment
  • Support the planning, documentation, and rollout of select operational processes and internal initiatives in partnership with senior leadership
Communication & Documentation
  • Draft and organize executive communications, presentations, and strategic documents
  • Capture notes, decisions, and action items from leadership meetings
  • Handle sensitive and confidential information with professionalism and sound judgment
Studio Coordination & Administration
  • Coordinate end-to-end candidate and visitor logistics, including travel arrangements, room and AV booking, itineraries, and studio tours
  • Partner with HR, IT, Facilities, and hiring managers to support onboarding coordination and first-week readiness
  • Track and publish new hire and departure updates across Production, HR, IT, and Facilities
  • Support select employee-facing initiatives in partnership with Studio Operations, including events, gifting, and studio programs
  • Partner with Department Heads, HR, and Early Careers teams to support coordination of the internship program

This role collaborates closely with Studio Operations, HR, IT, and Communications, but does not replace dedicated responsibilities within those teams.

Qualifications
  • 3+ years of experience supporting senior executives in a fast-paced environment
  • Exceptional organizational skills and strong written and verbal communication
  • High integrity and discretion with confidential information
  • Comfort managing ambiguity, shifting priorities, and complex coordination
  • Strong proficiency with modern tools (Microsoft 365, Slack, Zoom, project tracking tools)
  • Emotional intelligence and confidence interacting with stakeholders at all levels

In the U.S., the standard base pay range for this role is $62,500.00 - $100,000.00 Annual. These values reflect the expected base pay range of new hires across all U.S. locations. Ultimately, your specific range and offer will be based on several factors, including relevant experience, performance, and work location. In addition to a competitive base pay, employees in this role may be eligible for incentive compensation. Incentive compensation is not guaranteed.
